As a Groups, Meetings & Events (GME) Sales Coordinator, you will be at the heart of our London cluster's sales engine, providing ultimate admin support for our Execs and wider team. You will work on all areas including planning, sales, and proactive responsibilities ranging from updating bookings, invoices & contracts to rate loading and ensuring we have the hottest looking menus in town. The role requires adaptability on any ad-hoc short lead requests to ensure we are on the ball. Above all, you will remain flexible and intuitive, following business needs as they evolve, balancing priorities without gaps or excuses.
What you’ll do...
- Hand backs & Billing: Saving hand backs & receipts on the central folders, ensuring all are received and Planners can complete their billing procedures.
- System Management: Use Delphi & Opera to block space, generate contracts, create function sheets, raise invoices, input room lists, track deposits/payments - all in line with SOPs.
- Reporting: Prepare a range of reports throughout the week and share with the relevant Hotel teams to keep the right people updated on performance.
- Account Management & Internal Bookings: Provide assistance with specific accounts and internal bookings, ensuring rooming details are inputted correctly and relationships with key account holders are maintained.
- Inbox Management: Understand central inbox management & phone system to assist as required.
- Menu Updates & Design: Assist the GME Planning Manager in maintaining an up-to-date menu library, ensuring files are kept in order as directed by Operations leads.
- Diary Management: Understand the sales & planning process, balancing internal booking requests.
- Ad hoc Support: Provide ad hoc support to GME Managers, Heads Of & ADOS/DOS in preparation of presentation decks, report generation, blocking space & diary requests/invites.
- Communication: Build strong relationships with hotel departments and central teams, ensuring smooth operational handovers and flawless execution.
- Cross-Site Support: Conduct site inspections, attend Ops meetings, and support the wider GME team with proactive sales and ad-hoc projects.
- Culture & Teamwork: Contribute to a positive team culture, collaborate effectively, and bring creativity to problem-solving.

- Experience working within hospitality or a similar role; looking for an opportunity to take the next step into a career in groups & event sales.
- Proud of your attention to detail and ability to stay organised while working at a fast pace.
- Confident using systems such as Outlook, Excel, Microsoft Word, Adobe (experience using OPERA, Delphi, CRM system would be an advantage).
