Equans is looking for a Compliance and Performance Coordinator to join our team at the Royal Infirmary of Edinburgh on a permanent basis. This is a full‑time role working 37.5 hours per week. On offer is a salary of £40,000+, bonus and benefits package.
You will be an integral member of the site team. The Compliance & Performance Coordinator is responsible for monitoring and ensuring that facilities management services delivered comply with contract requirements, ensuring statutory, contractual, and performance standards are met, tracking Key Performance Indicators (KPIs), and ensuring service delivery. The role supports the compliance & performance of the site workforce team, executing the delivery of logistics planning of our onsite technical workforce to ensure delivery of agreed services to our customer in line with Contract Service Level Agreements (SLAs).
Responsibilities include:
- Managing, developing and supporting the workforce planners.
- Monitoring trends via Power BI Dashboard in engineer performance (daily, weekly, monthly) and reporting negative trends to the operational delivery team/Team Leader.
- Maximising utilisation of direct labour, reporting absences and identifying potential shortfalls and mitigation.
- Analysing jobs for both reactive and PPM's, allocating to the correct resource based on location, skill, priority, PPMS and customer requirements.
- Live monitoring for both reactive and PPM's jobs and reporting any scheduling issues or call progression problems to the relevant person as appropriate.
- Ensuring clear and concise quality updates reflecting true job progression are being used and coaching engineers where applicable.
- Identifying, analysing, and improving upon existing processes to improve the way we work as a team.
- Working in conjunction with the Operations/Delivery Managers to ensure seamless management and delivery of contract.
- Working closely with site team to ensure clients are kept informed in advance of planned preventative maintenance or reactive visits as per contract agreements, including delays.
- Responding to all chases/escalations within internal SLAs.
- Monitoring FM performance against contractual KPIs and service standards.
- Auditing FM systems, processes and quality management arrangements.
- Preparing and consolidating audit outcomes and working with Managers identifying areas of improvement and collating improvement plans.
- Validating service scoring and challenging performance where required.
- Carrying out site inspections and physical audits to identify areas of underperformance.
- Producing clear monthly performance and compliance reports.
- Ensuring monthly reports for each discipline are signed by the Account Director, Business Support & Performance Managers, Head of Technical, Estates Director, verifying the accuracy and validity of each site report.
- Setting up and maintaining a Technical folder structure for each KPI/System – Statutory, Compliance and Supplier Reports ensuring full documentation maintained and up to date.
- Preparing and presenting Technical Performance reports monthly/quarterly and annually with a clear set of improvement actions to assist the Senior Management Team in understanding of general compliance across the business.
- Maintaining strong personal competence in the areas specifically of technical compliance matters to ensure consistent standards throughout.
- Undertaking any other reasonable duties as required, as directed by EQUANS management.
- Providing leadership, and ensuring that contractual commitments are met and exceeded.
- Being the custodian and champion of a respectful workplace and leading the teams with respect and dignity.
- Championing the EQUANS Fundamentals and values.
- Oversight Management of respective compliance and performance systems.
- Supporting the technical performance and maintenance of standards.
- Supporting Handback, Audits, NCRs and action plans/trackers.
- Supporting development of scheduled programmes and registers that aid maintenance across the account.
- Ensuring data integrity is over all aspects in reporting and can be clearly evidenced.

Who are you?
- Experience within a Healthcare environment is advantageous.
- Experience in Facilities workforce planning, compliance, auditing and facilities operations.
- Good knowledge of SHTM's.
- Good understanding of legislative compliance requirements.
- Strong understanding of CAFM systems (Maximo); Understanding of asset data standards is desirable.
- Excellent analytical, organisational, and communication skills.
- Proficiency in Microsoft Office Suite is mandatory; Power BI and/or other data visualisation tools is a plus.
- Lead Auditor Qualification desirable but not essential.
- This role includes a DS PVG check; therefore ability to pass is essential.
