Engage Talent Partners are working exclusively with our client to source and recruit a part-time Administrator, reporting to the QHSE Manager. Our client is a leading organisation within their industry, operating across the oil and gas, renewables, defence, and nuclear sectors. The successful candidate will be joining the business at an exciting time, following a strong year with several high-profile contract wins and significant growth planned for the years ahead.
The QHSE administrator supports the QHSE manager in the effective implementation and maintenance of the organisation’s Quality, Health & Safety, and Environmental management systems. This role provides administrative support to ensure compliance with relevant standards, legislation, and internal policies. The QHSE Administrator assists in the collection, organisation, and analysis of QHSE data, supports audits and inspections, and helps promote a strong culture of safety and continual improvement across the business.
Key Responsibilities- The maintenance and updating of company documentation including, policies, procedures, forms and risk assessments.
- Updating and maintaining the company QHSE intranet.
- Compile monthly, quarterly, and annual reports and presentations of QHSE data.
- Schedule and track QHSE training, inductions and associated documentation.
- Aid in planning and taking of meeting minutes from safety meetings, management reviews, toolbox talks, and other QHSE communications.
- Offer administrative support to QHSE initiatives, improvement projects, and campaigns.
- Support in development and the continuing management of the Company’s competency management system.
- Maintain the Company’s online carbon footprint tracking portal.
- Work with all other departments to confirm timely completion of actions pertaining to audits, inspections, incidents, or non-conformities.
- Aid in overseeing the lessons learned portal.
- Support in the process of external audits through evidence gathering activities.
- Manage the coordination of the on-site facility statutory inspection schedule.
- Facilitate onboarding of contractors, ensuring all relevant and associated documentation is consolidated and reviewed by QHSE Manager.
- The handling of monthly site QHSE inspections alongside internal audits.
The ideal candidate will hold the ability to multitask balancing priorities, deadlines, and tasks, and demonstrate proficiency in relevant software such as Microsoft 365 software suite. A willingness to learn and develop knowledge in the discipline of Quality, health & safety and the environment is necessary. Previous experience in a similar role and knowledge of ISO Standards 9001, 14001, and 45001 is advantageous but not essential.
