Role Overview: Responsible for ensuring that all Contractors execute tasks in an efficient, organized, and safe manner. By leveraging coordination mechanisms collaborate with Contractors prior to site visits. This includes, but is not limited to, reviewing work and ensuring that contractors have integrated plans, ensuring Permit to Work requirements are met, that the scope of work is clearly understood and efficiently managed, and that Contractors have arranged necessary on-site support such as resources, scaffolding, cranes, and materials. In addition to supervising and coordinating daily activities, the Site Coordinator will play a key role in planning and optimizing site-based activities. This proactive approach aims to minimize Contractor downtime, increase efficiency, meet activity deadlines and avoid additional costs. Support in delivery will be provided from a remote centre of excellence β specialist resources will be available as needed to provide technical, project management and other support as needed.
Key Responsibilities:
- Lead On-site Construction β Serve as the focal point for all field-based construction activities, ensuring consistent, high-quality delivery aligned with client procedures, safety standards, and project objectives.
- Promote Safety Culture β Champion HSSE excellence by integrating safety into every aspect of the job, leading by example, and ensuring compliance with all regulatory and company safety practices.
- Contractor Management & Coordination β Manage daily interfaces with contractors and lead weekly/monthly coordination meetings. Monitor performance, address resource or schedule issues, and collaborate to improve delivery and reduce cost.
- Supervision of Site Activities β Oversee and supervise daily construction activities, ensuring adherence to project schedules, safety protocols, quality expectations, and environmental standards.
- Project Planning Coordination β Support Project Engineers and Project Managers in aligning early-stage planning, including execution methodology, schedule, and cost, leveraging site-specific knowledge for more efficient project delivery.
- Design & Work Package Management β Coordinate design communication and clarification between contractors, EngCoβs design centre, and project stakeholders. Support work package development and hold regular briefings with contractors on upcoming scopes.
- Contractor Performance Oversight β Collaborate with client site leadership and procurement teams to align performance expectations for safety, quality, reporting, and invoicing. Ensure contract compliance across all delivery areas.
- Support Procurement Strategy β Provide input to Contracting & Procurement on scope definition, commercial structure, and contractor technical evaluations during pre-qualification and selection.
- Monitor Progress, Quality & KPIs β Track construction performance against key metrics (HSSE, schedule, cost, quality, risk). Ensure timely development and delivery of performance reports.
- Lead Meetings & Reviews β Facilitate SIMOPS planning, construction kick-off meetings, readiness reviews, and constructability assessments with all relevant stakeholders.
- Permit & Readiness Coordination β Ensure all permitting, method statements, and readiness activities are completed prior to field mobilisation, including safety documentation and material delivery.
- Technical & Design Interface β Address contractor technical queries through coordination with the engineering consultant. Provide clear communication to resolve issues and avoid delays.
- Commissioning & Handover Support β Lead the transition from construction to commissioning and start-up. Manage punch lists, participate in pre-startup reviews (PSSR), and support final handover documentation and MOC close-out.
- Documentation & Reporting β Maintain thorough and accurate project documentation, including daily reports, NCRs, redline markups for as-builts, progress tracking, and contractor invoices/change orders.
- Permit to Work (PTW) Process Management β Coordinate site permits and ensure PTW and associated safety processes are compliant and effectively implemented.
- Collaboration with Client Operations β Work closely with client operations teams to align construction plans with operational priorities, enabling a smooth execution process on active sites.
- Drive Continuous Improvement β Identify and share lessons learned across terminals and projects. Promote a culture of efficiency, accountability, and βright-first-timeβ execution.
Required skills & experience:
- Construction Supervision Background β 10β15 years of experience in site construction supervision, asset management, and work pack coordination within industrial or infrastructure environments.
- Education β Accredited trades qualification and/or engineering degree in a relevant discipline.
- Leadership & Team Culture β Ability to foster a collaborative and energetic team environment with a focus on accountability, delivery, and maintaining high morale.
- HSSE Expertise β Strong awareness of health, safety, security, and environmental risks and the ability to lead by example in high-risk environments.
- Project Execution Knowledge β Deep understanding of the full project lifecycle from concept through to commissioning, with a focus on site readiness, planning, and quality delivery.
- Contracting & Procurement Acumen β Familiarity with different contract types (e.g. firm price, T&M), procurement strategies, contractor evaluation, and scope structuring.
- Strong Communication Skills β Excellent verbal and written communication skills; comfortable leading discussions and resolving conflicts with multiple stakeholders.
- Stakeholder Management β Proven experience working with multidisciplinary teams including clients, contractors, design engineers, and site personnel.
- Document Control & Technical Review β Skilled in reviewing and managing project documents such as execution plans, ITPs, NCRs, redlines, and safety documentation.
- Commissioning Support β Experience with pre-commissioning, handover, performance testing, PSSR, and MOC documentation.
- Problem-solving & Analytical Thinking β Strong ability to assess complex site issues and resolve them quickly, ensuring minimal impact to schedule and cost.
- Continuous Improvement Mindset β Demonstrated ability to identify improvement opportunities and apply lessons learned for future projects.
- Fluent in English, both written and spoken.
