The predicted salary is between 30000 - 42000 £ per year.

Contract: Fixed term – maternity cover until 1 March 2027 (with potential for flexibility required on the end date).

Interview dates will be 4, 5 and 6 March in the Edinburgh office.

The role:

As Office Manager (maternity cover), you will be part of our HR Centre of Excellence, working closely with the HR team to help deliver and support high-quality HR services for our people, including facilities management and health and safety. You will play a vital role in bringing our values to life every day by ensuring our workspaces are safe, welcoming and well run.

You will take ownership of the smooth and efficient day-to-day running of our Edinburgh office, alongside providing remote operational support to our Hadleigh office. This will ensure both locations are well organised, equipped and set up for people to do their best work.

Taking a hands-on and commercially minded approach, you will manage the practical realities of office operations, facilities, and administration. You will look for opportunities to improve ways of working, streamline processes, and introduce practical solutions that add value for colleagues and the wider business.

Health, safety, and wellbeing are central to the role. You will help ensure consistent health and safety compliance across our five offices (Cardiff, Belfast, London, Hadleigh and Edinburgh), working collaboratively with local office support colleagues and the HR team to maintain high standards, share best practice and ensure our workplaces remain safe, compliant, and fit for purpose.

You will also provide day-to-day guidance and coordination for office support activity, including light line management responsibility for one team member and close working relationships with colleagues across other locations. Through collaboration rather than hierarchy, you will help ensure a consistent, high-quality service and a positive experience for our people. Partnering closely with our HR team, you will provide essential administrative and operational support that underpins our wider business support and HR Centre of Excellence.

The HR Centre of Excellence is a core function supporting colleagues across the full employee lifecycle; from recruitment and onboarding through to development, wellbeing, and offboarding. We provide expert, impartial advice and practical support to help our people and the organisation thrive.

What you will do:

  • Own the day-to-day management of our Edinburgh office, while providing remote operational support to our Hadleigh office and working collaboratively with colleagues across our other UK locations to ensure offices are welcoming, well run and fit for purpose.
  • Lead on facilities and health and safety, ensuring compliance with legislation, completing risk assessments, managing fire safety and building requirements, and supporting individual workplace adjustments to create safe, inclusive environments.
  • Manage suppliers, contractors, budgets and office services, including cleaning, maintenance, equipment, purchasing and invoicing, taking a hands-on and commercially minded approach to keeping operations running smoothly.
  • Lead and support people, including supervising a small office support team and working closely with HR to support onboarding, office inductions, document control, audits and wider HR operational activity.

What you will bring:

  • Proven experience in office or facilities management within a business, estates, or building services environment, ideally across multiple locations.
  • Recognised health and safety qualification or equivalent experience (IOSH Managing Safely, NEBOSH), with strong working knowledge of health and safety legislation, risk assessment, and building compliance.
  • Experience managing contractors, suppliers and budgets, including tendering, purchasing, and ongoing performance management.
  • Strong organisational skills, with the ability to manage multiple operational priorities, work autonomously, and deliver a high-quality service in a fast-paced environment.
  • Excellent communication and relationship management skills, with the ability to work inclusively and professionally with colleagues at all levels and external partners, while handling sensitive information with discretion.
  • Experience of supervising or coordinating others, with the ability to maintain standards, allocate work effectively, and support collaborative ways of working.
