About the Role
We're looking for an Operations Coordinator who gets stuff done — someone obsessed with how things actually work and driven to make them better. This role sits at the intersection of supply chain, fulfilment, customer experience, negotiation and finance — keeping the engine running as we scale our DTC supplement brand. You’ll be part of the operational backbone of the business — owning the day-to-day across 3PL management, purchase orders across supply chain, CX operations, optimisations and finance/forecasting. You’ll work closely with our founder and growth team to make sure orders are scaling without issues, customers are looked after, and the foundations of the business are scaled for growth with constant process improvements. This is not a passive role where you are given the playbook - you’re helping write it. It's about staying ahead of the chaos, building systems from scratch, and growing into a serious operator. What You’ll Be Doing
- Supply Chain & Fulfilment: Managing purchase orders end-to-end — raising POs, tracking shipments, and chasing suppliers so stock lands on time. Monitoring stock levels and flagging reorder points before they become problems. Building and maintaining supplier relationships — holding them accountable on lead times, quality, and comms.
- 3PL & Warehouse Management: Acting as the day-to-day contact for our 3PL partner — managing inbounds, resolving fulfilment issues, and keeping inventory accurate. Investigating recurring issues and introducing process improvements. Conducting regular inventory reconciliations and flagging discrepancies quickly.
- Customer Experience Operations: Overseeing CX team, performance and tooling to ensure customers get fast, on-brand, consistent support. Identifying repeat issues (lost orders, delays, complaints) and fixing the root cause — not just the ticket. Maintaining and improving macros, response templates, and CX SOPs to keep quality high at speed.
- Finance & Cash Flow Admin: Tracking and reconciling invoices, purchase orders, and supplier payments to keep cash flow visibility clean. Maintaining financial admin processes in collaboration with our finance function or accountant. Flagging cash flow risks early — especially around stock spend, lead times, and seasonal demand.
- Building Operational Systems: Documenting processes and building SOPs so that things don’t break when the business grows. Identifying operational inefficiencies and proposing and implementing solutions.
You Should Apply If…
- You have 1–3 years of experience in operations, logistics, supply chain, or a similar role — ideally in DTC, e-commerce, or CPG.
- Are comfortable owning demand forecasting and stock planning.
- Are familiar with IMS/ERP systems; experience setting one up is even better.
- Have retail operations experience, i.e., PO management, invoicing, account admin.
- Have some exposure to quality and compliance, e.g., batch testing, certifications, and regulatory requirements.
- You're confident in spreadsheets and quick to pick up new tools (Shopify, Gorgias, or similar).
- You take ownership — if something’s broken, you don't wait to be told to fix it.
- You're based in or near London and happy to come in a couple of days per week.
- You communicate clearly, flag issues early, and never drop the ball on the details.
- You love getting stuff done and building things that didn't exist before.
Bonus Points For
- Experience in supplements, wellness, beauty, or any regulated consumer goods category.
- Familiarity with inventory or ops tools like Cin7, Linnworks, or similar.
- Exposure to basic demand planning or stock forecasting.
- A genuine interest in health, wellness, or performance nutrition — it helps when you actually care about what we make.
- Experience in a small, fast-growing team where no two days look the same (and that excites you, not scares you).
Salary Range: £32,000–£40,000 DOE
