Citywire runs a fast-paced global events portfolio spanning forums, retreats, conferences, and roundtables. The Event Marketing Project Coordinator plays a pivotal role in delivering high-quality delegate journeys across all invitations and registration flows. In this role, you will manage the full invitation and registration process for multiple events simultaneously, working closely with various teams across the business to ensure we deliver a seamless, Citywire-standard experience.
What you’ll be doing:
- Campaign Lifecycle Management: You will lead the end-to-end creation and launch of event invitations, managing detailed timelines, building registration collateral, and testing user journeys to ensure a frictionless experience for our delegates.
- Data & Stakeholder Coordination: Acting as a central hub for communication, you will work across global time zones to manage complex audience segmentation while ensuring all outreach remains brand-consistent and GDPR compliant.
- Insights & Optimization: You will drive continuous improvement by maintaining real-time reporting dashboards and delivering post-event analysis to help refine and optimize future event cycles.
What we’re looking for:
- Project Coordination: Experience managing multiple project timelines simultaneously, ideally within events or marketing operations.
- Communication Skills: Ability to keep multiple internal ‘clients’ informed and happy while managing high-volume campaigns.
- Technical Proficiency: Proven experience with CRM tools and a solutions-first mindset for troubleshooting user journeys.
- Data Literacy: Confident in filtering complex invitee lists and maintaining real-time dashboards to track key metrics.
- Industry Context: Previous experience in Media, Global Events, or Financial Services is a plus.
- Personal Attributes: You are structured and calm under pressure, detail-oriented, and technically curious.
