ESC is a small charity supporting people with endometriosis on the South Coast. We need an organised, reliable volunteer to support our recruitment process — tracking applications, sending communications, and scheduling interviews. A great entry point into charity recruitment.

What difference will you make? Every volunteer who joins ESC starts their journey through the recruitment process. The care, efficiency, and warmth with which that process is managed shapes their first impression of the organisation and sets the tone for their entire volunteer experience. By keeping applications logged accurately, communications sent promptly, and interviews scheduled smoothly, you will make sure that no candidate is left waiting and no opportunity is missed. The volunteers recruited through the process you support will go on to deliver frontline services, manage our communications, run our events, and advocate for people living with endometriosis across the South Coast. That work begins here, with you.

This is also a genuine opportunity to build your own skills and CV in recruitment and charity administration, with the support of an experienced coordinator and a warm, inclusive team behind you.

What are we looking for?

  • Someone who is organised, reliable, and has strong attention to detail.
  • Keeping an applications tracker accurate, sending communications on time, and managing interview schedules without things slipping through the gaps requires someone who takes pride in getting the admin right.
  • Confident written communication is essential. You will be the first point of contact for many of our applicants, and the messages you send on ESC's behalf need to be warm, clear, and professional.
  • A calm, courteous approach to dealing with people at all stages of the process matters throughout.
  • Comfortable using email, shared documents, and Microsoft Teams, and able to manage your own tasks and deadlines independently without needing close supervision.
  • Prior experience in HR, administration, recruitment, or a customer-facing role.
  • Familiarity with applicant tracking or volunteer management tools.
  • An interest in the charity sector or in endometriosis and women's health is always welcome.
  • Someone who shares ESC's values of inclusivity, trust, and community, and who understands that how we treat our applicants reflects who we are as an organisation.

What will you be doing?

As Volunteer Recruitment Assistant, you will work closely alongside our Volunteer Recruitment Coordinator to keep ESC's recruitment activity running smoothly. This is a hands-on role that covers the full recruitment cycle, with clear support and guidance throughout, and is a brilliant opportunity for anyone looking to build experience in recruitment or charity administration.

Day to day, you will log incoming applications into our Volunteer Applications Tracker and keep it accurate throughout the recruitment cycle; send acknowledgement and outcome communications to applicants using ESC templates; arrange interview times with shortlisted candidates and send Microsoft Teams meeting invitations; and maintain a clear schedule of upcoming interviews for the Coordinator. You will also help collect photos and bios from successful volunteers to pass on to our Marketing and Communications team, and provide a brief weekly update to the Coordinator on application numbers and outstanding actions.
