Banijay UK are looking to recruit an executive assistant to support the Senior Leadership Team (SLT) and their respective departments. This fast-paced role sits at the heart of the company to ensure the smooth running of the SLT’s workloads. This is both an internal and outward facing role representing the Company in the best light at all times. We are looking for a career EA who is happy working in the office (based in Shepherds Bush) 4 days per week.

Duties

  • Diary management for Director of HR, General Counsel & COO/CFO - ensuring meetings are effectively prioritised and scheduled, proactively resolving scheduling conflicts and anticipating potential clashes.
  • Liaising with members of staff at all levels, including working with the teams within the HR, Finance and Legal departments.
  • Booking and coordinating travel including preparing itineraries and relevant documentation.
  • Booking and preparing meeting rooms for both internal and external meetings including relevant paperwork, tech set up and any catering requirements.
  • Organising refreshments, snacks, lunches for meetings, events and the SLT.
  • Collating reports and preparing packs ahead of board meetings.
  • Comprehensive and accurate minute taking and distributing to relevant groups as required.
  • Preparing PowerPoint presentations.
  • Creating, maintaining, and managing filing systems, templates, and distribution lists.
  • Collation and processing of expenses.
  • Reconciling invoices and inputting on PMI (internal system).
  • Handling gift acquisitions for the SLT and other staff members.
  • Organising monthly presentation sessions for the Legal and Business Affairs team, including liaising with external lawyers and prepping for the event.
  • Assisting the Senior Executive Assistant to the CEO in effective running of the SLT including organisation of company events and parties.
  • Holiday cover for the SEA and other EA support for the SLT.
  • Ad hoc administration support to ensure the continuous smooth running of duties relating to the SLT.

Knowledge & Skills

  • Previous experience working as a PA / Team Assistant in a busy office environment.
  • Attention to detail and the ability to complete complex tasks and projects quickly.
  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Pro-active with excellent organisation skills and the ability to prioritise and handle multiple assignments.
  • The ability to communicate effectively and with charm with both internal and external contacts at all levels.
  • The ability to be flexible in line with the needs of the SLT & Senior EA and handle last minute changes and moving priorities with ease.
  • A hands-on attitude with a strong sense of initiative and ability to anticipate needs.
  • A self-motivator who is eager to learn & develop.
  • High levels of integrity and discretion.
  • Friendly, open, and dynamic.
