Our Recruitment Administrator role sits at the heart of our Talent Acquisition function, supporting our Talent Acquisition Specialists to work efficiently while ensuring candidates receive a professional, timely and positive journey with Encore.
Overview
The purpose of the role is to keep recruitment moving, keep people informed, and keep standards high. You’ll manage the detail, the coordination and the candidate experience that allows our hiring managers and Talent Acquisition Specialists to do their best work. You’ll understand that candidates are your key clients. From first CV review through to onboarding, you’ll work hard to ensure every interaction reflects Encore positively.

What You’ll Be Doing
You’ll take ownership of the coordination and administration that underpins successful recruitment, including:
- Reviewing and screening CVs against detailed role briefs
- Conducting structured phone screens using set questions and scoring responses accurately
- Progressing suitable candidates through interview stages with clear, timely communication
- Scheduling interviews and managing diaries to make best use of time and availability
- Preparing interview summaries, invites and offer documentation
- Acting as a consistent point of contact for candidates throughout the process
- Maintaining accurate, compliant data within the ATS and HR systems
- Posting job adverts that are clear, engaging and aligned to Encore’s brand
- Providing regular progress updates to hiring managers and stakeholders
- Supporting proactive resourcing and talent pooling for future hiring needs
- Ensuring GDPR compliance and safeguarding candidate data at all times
There will also be some ad hoc duties as part of day-to-day recruitment activity, and occasional visits to client sites may be required.
What You’ll Bring
Experience
- At least 1 year of office-based administration experience (preferred)
- Strong, confident communication skills with the ability to adapt to individuals from a wide range of backgrounds
- Confidence working with multiple stakeholders and building credibility quickly
- A structured, organised approach to managing workload
- Front-facing customer service experience
- Exposure to bespoke IT systems or ATS platforms (preferred, not essential)
Skills
- Strong attention to detail
- Excellent time management and prioritisation skills
- Confidence working with data, numbers and complex information
- Strong IT skills, particularly across Microsoft Office (Excel, Word, Outlook, PowerPoint)
- Clear, professional communication — written and verbal

At Encore, we pride ourselves on delivering outstanding service and managing valuable residential estates with expertise and care.
