We're looking for a proactive, detail‑focused Insurance & Utilities Administrator to take ownership of two essential areas across our property portfolio: ensuring every estate has the right insurance in place, and ensuring all utility accounts are contracted, accurate and paid on time.
Insurance
You'll help make sure every estate has valid, compliant insurance cover in place, including buildings insurance, Directors & Officers cover, engineering cover and any additional lease‑required policies.
Responsibilities (Insurance)
- Consult with insurance brokers to ensure new estates are covered by the right policies.
- Manage insurance renewals and ensure policy documents are issued before expiry.
- Ensure estates insured directly by freeholders have the correct policy documents on file.
- Monitor building reinstatement valuations and keep records up to date.
- Support and oversee the new revaluation process once implemented.
- Check policies against lease requirements, including specialist cover such as terrorism insurance where required.
- Use Qube reports to monitor insurance end dates and manage upcoming actions.
- Ensure documents are correctly stored in the Business Document Library within Dwellant.
- Process insurance premiums into the Qube Purchase Ledger and allocate bills correctly.
- Monitor insurance‑related debts to ensure cover is not affected by unpaid invoices.
- Maintain accurate, reliable data and regularly check information for completeness.
Utilities
You will help ensure estate gas and electricity accounts are correctly contracted, competitively priced and paid promptly.
Responsibilities (Utilities)
- Consult with the utilities broker to ensure accounts are in contract and on competitive rates.
- Monitor contract expiry dates and enter new or renewed contract information into Qube.
- Update supplier details, rates and estimated usage information.
- Upload utility invoices to Dwellant where required.
- Ensure broker‑managed invoices are uploaded promptly, especially ahead of supplier payment runs.
- Match supplier statements and check balances against Qube.
- Act quickly on debt letters to avoid escalation, additional costs or service issues.
- Support meter exchange projects from set‑up through to completion.
Administration, coordination and continuous improvement
- File correspondence correctly and ensure policy and contract information is uploaded to Qube.
- Follow up on outstanding actions and ensure processes are being followed properly.
- Support newer team members by keeping an eye on activity and helping prevent surprises.
- Take a senior, solutions‑focused approach to issues and see things through to the end.
- Get involved in automation and process improvement projects.
- Share ideas, challenge inefficient ways of working and help improve how things are done.
Qualifications
Previous experience in insurance or utilities is not required, as full training will be given. However, the following would be highly desirable:
- Experience working in an office environment.
- Excellent customer service skills.
- Experience working with figures, invoices, data or financial information.
- Confidence using Microsoft Office, particularly Excel.
- Experience using property management or finance systems would be useful, although training will be provided on Qube and Dwellant.
