Encompass Marine is a trusted sales and marketing agent and the exclusive business development partner for leading international shipyards, ship repair, marine systems, spare parts, and service providers. We are recruiting a Sales and Office Administrator, based at our head office in Grimsby on a hybrid working basis (37 hours/week, comprising 3 days per week in office, 2 days WFH). Salary band for the role is: £23,000 - £27,000 pa, depending on experience.
The right candidate will play a crucial role in supporting the sales team and ensuring the smooth running of operations. Responsibilities will include:
- Ensure the efficient running of the office for a small, dedicated team.
- Reception duties including answering, screening and forwarding telephone calls. A professional, courteous and pleasant telephone manner is always essential.
- Maintain electronic systems including reporting and dealing with IT queries, filing of emails, updating of electronic calendars, contacts and Super Office CRM.
- Follow up, track, record and issue invoices.
- Minute taking.
- Organisation of exhibitions as directed.
- Gather and collate data and information from a variety of sources, to interpret vessel docking and survey dates, to update and maintain our CRM.
- Produce monthly reports.
- Appointment setting, visit itineraries and producing pre-visit reports for marketing trips.
- Make travel/hotel arrangements as required.
Skills and Qualifications:
- Previous experience in a similar role, ideally within a technical/marine sales or support environment.
- Excellent written and verbal communication skills, with experience in dealing with multinational customers.
- Strong organisational and multitasking abilities.
- Proficiency in MS Office, particularly Word and Excel and Super Office CRM.
- Attention to detail and a high level of accuracy.
- Experience of working in a fast-paced environment.
