Executive Assistant & Operations Associate

Bristol | Hybrid – two days per week in the office | Β£30,000–£37,000 + benefits | Permanent | 35 hours per week

Our client is a growing specialist insurance business, looking for an exceptionally organised, proactive and commercially aware Executive Assistant & Operations Associate to support its Executive Leadership Team.

This is a high-trust role for someone who enjoys being at the centre of a busy business β€” bringing structure to fast-moving diaries, senior stakeholder communications, reporting, meetings and key operational activity.

You will work closely with the Chief of Staff and senior leaders, helping to ensure priorities are clear, actions are followed through and the executive team can focus on the strategic work that matters most.

This is primarily an executive support, coordination and administration role.

However, we are looking for someone with the confidence and senior stakeholder exposure to operate credibly across the business, challenge constructively where needed and keep things moving.

What you'll be doing

  • Managing complex and fast-moving executive diaries, meetings and changing priorities.
  • Coordinating internal and external meetings, travel, logistics and preparation materials.
  • Acting as a trusted first point of contact for senior stakeholders and external contacts.
  • Managing communications and ensuring actions, decisions and commitments are followed through.
  • Producing reporting packs, dashboards, executive summaries and management information.
  • Coordinating leadership, board and committee meetings β€” including agendas, materials, minutes and action logs.
  • Supporting business planning, presentations, strategic initiatives and project tracking.
  • Maintaining key operational trackers, governance documents and action plans.
  • Coordinating senior recruitment interviews and supporting onboarding activity.
  • Handling sensitive information with absolute discretion and professionalism.
  • Supporting people initiatives, engagement activity and communication across the business.

What we're looking for

  • Previous experience as an Executive Assistant, Personal Assistant, Operations Coordinator, Business Support Coordinator or similar.
  • Strong experience supporting senior leaders, or managing multiple senior stakeholders.
  • Excellent diary, meeting and stakeholder-management capability.
  • Exceptional organisation, prioritisation and attention to detail.
  • Confident written and verbal communication skills.
  • The ability to stay calm, proactive and solutions-focused when priorities change.
  • Strong judgement, discretion and the confidence to manage expectations appropriately.
  • A naturally resourceful approach β€” someone who spots issues early and finds a way through them.
  • Strong capability with reporting, presentations, trackers and business documentation.
  • What's on offer
  • Salary of Β£30,000–£37,000, with flexibility for the right person.
  • Permanent, full-time role working 35 hours per week, Monday to Friday.
