Emtec Building Services North is strengthening its pre‑construction team as new projects mobilise and our secured pipeline of work continues to grow across the region. As part of this continued expansion, we’re looking for an experienced Document Controller to join our Newcastle team. Sitting at the heart of the project team, this role is ideal for someone who is highly organised, detail‑driven, and comfortable working in a fast‑paced construction environment, helping keep projects moving smoothly from design through to handover.

Emtec Building Services is a leading M&E contractor delivering end‑to‑end mechanical and electrical solutions across commercial, industrial, and public sector projects, from early design and pre‑construction through to installation, commissioning, and ongoing support.

The Role

As a Document Controller, you’ll play a central role in managing all project documentation, ensuring information is accurate, compliant, and issued on time to the project team and supply chain. Key responsibilities include:

  • Managing all incoming and outgoing project documentation, including drawings, technical submittals, RFIs, O&M manuals, and specifications.
  • Setting up and maintaining structured electronic and paper filing systems in line with company and project requirements.
  • Ensuring document control procedures are followed, including version control, approvals, and accurate distribution.
  • Working closely with Project Managers, Engineers, site teams, subcontractors, and clients to support clear communication and document flow.
  • Uploading, managing, and updating documents across project platforms such as Viewpoint, Asite, Aconex, or client‑specific systems.
  • Supporting audits by ensuring documentation is current, correctly filed, and fully compliant.
  • Producing regular reports on document status, outstanding actions, and overall compliance.
  • Managing final project archiving and handover documentation to ensure records are complete and accessible.

What You’ll Bring

  • Proven experience in a Document Controller or similar role, ideally within construction or Building Services.
  • Must have experience of industry recognised construction document management software such as Viewpoint, Procore, Asite etc.
  • Must have proven experience in a document control role within a construction environment.
  • A collaborative team player with a willingness to support the wider project team.
  • Strong working knowledge of Microsoft Office (Excel, Word, Teams) and a willingness to learn new systems.
  • Excellent communication skills with a friendly, approachable manner.
  • High levels of organisation, attention to detail, and accuracy.
  • Ability to manage multiple priorities and deadlines in a live project environment.
