With ambitious growth plans and a strong leadership team, we are now looking for a highly organised and energetic Project Coordinator to support our project operations.
The Role
As a Project Coordinator, you will play a pivotal role in ensuring our HVAC projects are delivered smoothly, efficiently, and to the highest standards. You will work closely with our Head of Projects, engineers, service team, and clients to manage schedules, procurement, documentation, and communication – keeping everything moving on time and within budget.
Key Responsibilities
- Support the delivery of HVAC projects from start to finish
- Liaise with engineers, suppliers, subcontractors, and clients to coordinate job logistics
- Raise purchase orders, chase materials, and track delivery schedules
- Prepare job packs, RAMS, permits, and compliance documentation
- Maintain accurate records, drawings, and project files
- Schedule and confirm site visits, installations, and commissioning
- Monitor project progress, flag delays or risks, and support resolution
- Ensure consistent use of project handover and pre-start checklists
- Assist with job costing, variation orders, and invoicing support
- Provide day-to-day admin support to the Head of Projects
What We’re Looking For
- Proven experience in a coordination, planning, or admin role (ideally within construction, HVAC, M&E, or similar)
- Excellent organisational and multitasking skills
- Strong communication – confident speaking with engineers, suppliers, and clients
- Tech-savvy and comfortable using job management systems and Excel/Google Sheets
- Proactive mindset – you see issues before they happen and take initiative to fix them
- Ability to thrive in a fast-paced, growing business
- Positive attitude, strong work ethic, and high attention to detail
Bonus If You Have
- Experience with HVAC, M&E, or construction project environments
- Familiarity with systems like JobLogic, SimPRO, or similar
- Understanding of H&S compliance documentation (RAMS, permits, etc.)
