The Administrative Assistant is essential to the firm’s execution and building/maintaining structure to repeat a high level of success for our clients each time. We represent and care for our clients, their employees, and their families. The ideal team member will have the desire to be a part of changing the way employers purchase and manage healthcare.

Position Overview

As the Administrative/Executive Assistant, you will provide high-level administrative support to the firm’s leader, ensuring seamless daily operations. Your responsibilities will range from managing schedules and communications to overseeing key projects and maintaining organizational efficiency.

Key Responsibilities

Administrative & Executive Support

  1. Manage the executive’s calendar, scheduling meetings and optimizing time management.
  2. Organize and prepare for meetings, including gathering documents and recording key notes.
  3. Draft, edit, and send emails and business communications on behalf of leadership.
  4. Act as a liaison between leadership and internal/external stakeholders.
  5. Handle confidential and sensitive information with discretion.

Project & Operations Management

  1. Assist in tracking ongoing projects, ensuring deadlines are met.
  2. Maintain and organize key business documents and records.
  3. Coordinate and oversee CRM and task management systems to ensure smooth operations.

Communication & Client Coordination

  1. Answer and respond to phone calls, relaying messages as needed.
  2. Facilitate internal and external communications, ensuring timely follow-ups.
  3. Support client interactions by scheduling appointments and managing inquiries.

Travel & Event Coordination

  1. Arrange travel accommodations, including flights, hotels, and transportation.
  2. Organize logistics for conferences, events, and client meetings.

Required Skills & Qualifications

  1. Proven experience as an Administrative/Executive Assistant or in a similar high-level support role.
  2. Strong organizational skills with the ability to multitask and prioritize efficiently.
  3. Excellent written and verbal communication skills.
  4. Proficiency in Microsoft Office Suite and CRM tools (e.g., Salesforce, HubSpot).
  5. High level of discretion, professionalism, and problem-solving ability.
  6. Adaptability and ability to anticipate the needs of leadership.

Preferred Qualifications

  1. Experience in the employee benefits, insurance, or financial services industry.
  2. A Wizard in Excel.
  3. Familiarity with digital collaboration tools such as Teams, Asana, or other project management tools.
  4. Marketing background, using tools such as Adobe or Canva.

Work Arrangement: In-person with hybrid flexibility.
