Meetings and Events Senior Project Manager – Emota, Manchester, England, United Kingdom (hybrid: Ashby-de-la-Zouch or London or Manchester).
Reporting to: Project Director. Direct reports: Project Executives and Senior Project Executives. This is an experienced role specialising in Meetings and Events, focusing on planning of global projects for renowned clients. The role includes managing logistics, budgets, and mentoring project staff; requires national and international travel; involves client, partner, supplier, team, and financial management at all stages of delivery (pre, on-site, and post-event).

Responsibilities- Lead the project from a client, internal team, and external partner perspective.
- Lead small to medium sized projects across multiple Emota/XD service lines; act as the main client contact to ensure seamless delivery.
- Maintain the highest standards of event planning and delivery through the leadership of Project Executives.
- Oversee the building of apps and content.
- Manage post-event metric reporting.
- Coordinate hotels, venues, and associated logistical arrangements.
- Coordinate client requirements with 3rd party suppliers and promote relationships.
- Manage communications (e.g., weekly status reports) to internal and external partners.
- Travel on-site for site inspections and delivery planning with all suppliers.
- Attend on-site meetings for meetings and events held nationally and internationally.
- Ensure delivery of all events following regulatory and client-defined compliance guidelines.
- Conduct meetings and communicate with clients to develop relationships.
- Identify new opportunities and leads for business development to share with the Client Engagement Director.
- Present event proposals to clients.
- Plan, attend and execute client planning meetings (F2F and virtual).
- Prepare supportive planning materials for client meetings.
- Keep clients updated on all aspects of meeting planning throughout the programme.
- Lead relevant aspects of client debrief post-event.
- Be a subject matter expert for the client account to guide colleagues.
- Lead end-to-end event budgets using company tools.
- Prepare and maintain budgets throughout each event lifecycle.
- Approve all client invoices before dispatch.
- Track finances and perform regular health checks to ensure positive cash flow.
- Identify and charge for out-of-scope activities; monitor scope management.
- Identify cost savings and avoidance opportunities.
- Ensure invoicing and financial process compliance.
- Log project time entries.
- Collaborate with the Project Director to prioritise staff and resources.
- Assist with recruitment and mentoring of Project Managers and Project Executives.
- Conduct scheduled 1:1s with direct reports to support and ensure client deliverables.
- Represent the agency; attend and contribute to team meetings.
- Collaborate with other departments to meet client goals.
- Work toward client SLAs for all events; uphold mission, vision, and values.
- Comply with company and client procedures including Health & Safety, privacy, and security.
- Apply knowledge of ABPI and PhRMA guidelines when working with healthcare clients.
- Support privacy and security protocols and consider environmental sustainability in all actions.
- 5+ years of experience managing and delivering meetings and events in a corporate setting (ideally internationally).
- Experience managing event budgets from creation through to revisions and reconciliation.
- Strong project management and resource management skills for meetings and events.
- Customer-centric approach to event delivery.
- Experience leading teams to success.
- Proficiency in event management software, project management tools, and Microsoft 365 (including Excel and complex spreadsheets).
- Willingness to travel nationally and internationally and manage busy event schedules on-site.
- Experience with Pharmaceutical/Healthcare clients is preferable.
