What are we looking for?

We are currently looking to recruit a Team Coordinator to remotely support the Court of Protection – Property and Affairs team based down in our Reading office. This is a varied and pivotal role combining high-level coordination, diary and inbox management, client liaison, departmental organisation, billing support and internal process oversight. The successful candidate will play a key role in ensuring the efficient and profitable operation of the department. Where will you be based?

This role will be based in our Durham office, but we would expect you to travel and work from other offices from time to time.

How many hours will you be working?

This is a full-time role working 35 hours per week, Monday to Friday, with your core hours being 9am to 5pm. During probation, you’ll usually work from the office five days a week, though flexibility may be possible. Following probation, the role is likely to adopt a hybrid approach, with a minimum of four office days per week.

A brief overview of the role:

This role works within the Court of Protection, Property & Affairs department. The main responsibilities of the role include supporting senior managers with diary management, emails, internal processes, client contact and team management (internal organisation).

What will we expect from you:

  • Provide proactive support to the Head of Department and the wider senior leadership team.
  • Coordinate team operations and internal processes.
  • Manage diaries, inboxes and key deadlines.
  • Organise in person and remote meetings, prepare agendas and take minutes.
  • Providing typing support where required.
  • Support fee earners with client file management and administration.
  • Assist with billing preparation and financial processes.
  • Open new files and conduct conflict checks.
  • Track new enquiries and ensure appropriate follow-up.
  • Support business development and departmental growth initiatives.

This is not a traditional legal secretary role. Administrative support exists within the team, this role focuses on coordination, oversight, organisation and proactive management to support and ensure the smooth running of the department. No two days are the same, and the successful candidate will be expected to manage multiple and often competing priorities and expectations in a professional and timely manner.

To be able to perform this job you will need:

  • Previous experience in a Team Coordinator, Personal Assistant, Senior Administrator or similar role.
  • Experience supporting Directors or senior leaders/managers.
  • Strong diary and inbox management experience.
  • Excellent organisational and prioritisation skills.
  • Strong typing skills and proficiency in Microsoft Office (Word, Excel, Outlook).
  • Experience using case management systems, email systems and online portals.
  • A good standard of education, including strong written and spoken English.
  • The ability to work independently using initiative and sound judgement.
  • Confidence to communicate clearly and raise concerns appropriately.
  • A high level of professionalism, discretion and attention to detail.
  • A positive, motivated attitude and a proactive approach to problem solving.
  • Reliable and dependable.
