We are currently looking to recruit a Workplaces Executive

Where will you be based?

This role can be based from our Durham office, but we would expect you to travel and work from other offices as required.

How many hours will you be working?

This is a full-time role which is 35 hours per week, however at EMG Solicitor we work flexibly, it’s not a 9 to 5 role, but we do expect the work to be done, when you do it can be largely up to yourself, your Team Leader and the requirements of your clients.

We are looking to recruit a Workplaces Executive who will be responsible for ensuring EMG Solicitors maintains a safe, compliant, and well‑managed workplace environment across all sites.

This role supports the Workplaces Manager in delivering high‑quality health & safety standards, driving proactive risk management, and contributing to excellent workplace operations for colleagues and clients.

Your work will be shaped by the Health & safety compliance requirements and ongoing Workplaces strategy which is aligned with the overall growth of the firm:

  • Identify areas of improvement within the Health & safety practices of the firm and propose solutions/lead projects with the support of the Workplaces Manager
  • Manage existing processes, risk assessments and policies within the H&S and Workplaces sphere
  • Strong stakeholder relationships will enable you to deliver projects important to the safety and wellbeing of our colleagues and clients

Getting paid for the work you do.

  • Assist the Workplaces Manager in delivering excellent operational standards across all offices
  • Help coordinate contractors, including facilities, maintenance, cleaning, security, and specialist suppliers
  • Support space planning, office moves, and workplace optimisation projects
  • Assist in onboarding new office locations and ensuring safe mobilisation
  • Help with the administration of Workplaces processes
  • Be involved in the BCorp related activities and Carbon Accounting
  • Take ownership of the Workplaces Helpdesk and be the first point of escalation
  • Assist with procurement where necessary
  • Support the development, implementation, and monitoring of EMG's Health & safety Management System
  • Carry out regular workplace inspections, audits, and risk assessments across all seven offices
  • Maintain and update central H&S documentation, evidence logs, registers, and site‑specific records
  • Assist with fire safety compliance, including coordinating drills, maintaining equipment schedules, and supporting Fire Wardens
  • Overseeing Health & safety Champions and supporting them in their daily role
  • Support DSE assessments, ergonomic checks, and reasonable adjustment processes
  • Ensure statutory compliance for all sites (e. g., fire systems, emergency lighting, PAT, legionella controls)
  • Monitor accident/incident reporting, investigate where required, and support root‑cause actions
  • Support with the delivery of internal H&S training (inductions, DSE, fire safety, etc.)
  • Promote a positive safety culture that encourages reporting, accountability, and continuous improvement
  • Work with internal stakeholders (People & Culture Team, IT, QRC) to embed good workplace practices
  • Support the Workplaces Manager with emergency preparedness plans for each site
  • Ensure emergency equipment and procedures meet legal and organisational requirements
  • Act as a point of contact during incidents, escalations, or operational disruptions
  • Maintain accurate H&S records and provide management information to the Workplaces Manager
  • Contribute to policy development, audit readiness, and compliance improvement projects
  • Identify opportunities to improve processes, increase efficiency, and enhance colleague wellbeing
  • Assist with preparation for the BCorp recertification

To be able to perform this job you will need.

  • You will need previous experience of working in a facilities/operations role in the property/estates field, ideally within professional services or a regulated environment
  • IOSH Managing Safely or equivalent, NEBOSH would be desirable, but this can be discussed as part of the training we provide for the successful candidate Knowledge of UK Health & safety legislation and best practice
  • Strong organisational and communication skills
  • Confidence working with suppliers, colleagues, and managers at all levels
  • Ability and willingness to travel regularly across EMG's offices
  • Experience with incident investigation and audits
