Role Overview

To provide technical and administrative support to the Account Manager and to co-ordinate all PPM and Reactive works in an efficient and effective manner.

Responsibilities

  • Co-ordinate all billing and prompt processing of reactive, labour and subcontractor costs
  • Carry out various personnel duties such as holiday and sickness reporting, booking accommodation and dealing with expenses
  • Ensure all sites are compliant with EFS procedures and policies and issue these documents
  • Operate the EMCOR Helpdesk, allocate work to the EMCOR site teams and update the client helpdesk with progress
  • Support the Technical & Account Managers
  • Maintain all files, contract and IMS documents
  • All-site purchasing using JD Edwards and processing of chargeable/non-chargeable works
  • Process works-in-progress paperwork ready for invoicing
  • Produce monthly reports for the client
  • Schedule, plan and allocate all PPM work for EMCOR and specialist contractors
  • Organise call outs to sub-contractors for repairs
  • Deal with sub-contractor enquiries
  • Maintain call-out rota
  • Pursue return of all paperwork both internally (technicians) and externally (reports and quotes from sub-cons)
  • Check the accuracy of weekly timesheets
  • Write letters as required
  • Deal with in and out post

Qualifications

  • Solid experience within a similar role
  • Computer-literate with Word and Excel skills
  • Good understanding of the importance of customer service
  • Ability to work on own initiative and under pressure
  • Good interpersonal skills
  • Exceptional planning and organisational skills
  • Ability to multi-task and manage time effectively
  • Good all-round knowledge of building services operations
