We're looking for a finance specialist to support EMBL-EBI's training portfolio on a part-time basis (19.5 hours per week). The Training Team at EMBL-EBI comprises 21 dedicated staff members who deliver on EMBL-EBI's training mission, reaching hundreds of thousands of scientists each year. Our work helps position EMBL as Europe's premier hub for learning and collaboration in molecular biology. The job is half-time (19.5 hours per week), and based just outside Cambridge, UK. Our team works in hybrid mode around the needs of the programme. Our offices are on the beautiful Wellcome Genome Campus in Hinxton, with extensive parkland and award-winning buildings.

This financial management role works closely with the leadership team for Training, providing regular, accurate and up-to-date financial forecasts to ensure effective management of our resources. You'll also contribute to strategy yourself from a finance perspective proposing improvements and solutions to challenges. On an operational level, you'll support the teams as a whole, on a day-to-day basis, taking ownership of our financial processes. As the only financial specialist in the team, you'll need to be comfortable working independently as well as collaboratively with your colleagues within and beyond the team.

Your Role:

  • Financial management: At the centre of your role is the preparation and monitoring of budgets for the training events and projects at EMBL-EBI in Hinxton. Forecasting for the programme as a whole, and at the level of individual training courses, whilst doing the same for the annual salary and office budgets, you'll always have the full picture in sight as you steer the team in balancing our annual income with our expenditure.
  • Monitor the budgets and expenditure of multiple externally funded projects simultaneously, and ensure project managers are informed of each project's financial position; work with grant project teams to make most effective use of grant funds.
  • Control costs and revenues and periodically present current status and annual forecasts for budgets to the EMBL-EBI Finance Team, advising of any forecast variances and preparing action plans to keep the finances on course.
  • Ensure that the financial processes and policies by which EMBL operates are adhered to within the EMBL-EBI Training Team, liaising with colleagues in the Grants Office and Budget Office accordingly.
  • Oversee the allocation of financial assistance funding to be awarded to event participants by ensuring processes and guidelines are well written and kept up to date; communicate any changes in processes to event organisers; monitor and report on the financial assistance throughout the year.
  • Liaise with the Head of Finance and members of the finance teams on behalf of the Training Team.
  • Serve as software and account manager for the payment gateway provider at EMBL-EBI.
  • Cost control and benchmarking to ensure that the EMBL-EBI Training Team delivers value for money in its operations, and to ensure that event fees are aligned with those at other EMBL sites.

Strategic and leadership role:

  • Build and maintain successful working relationships with colleagues throughout EMBL-EBI and at other EMBL sites and be the first point of contact for day-to-day financial queries.
  • Input to the operational and financial aspects of the EMBL External Training strategy.
  • Input to operational management of the EMBL-EBI Training Team.
  • Contribute to ad-hoc projects that continually improve the financial operations of EMBL-EBI Training.
  • Contribute to the recruitment, on-boarding and development of new team members.

You Have:

  • University level education and appropriate accountancy or financial management qualifications (e.g. ACCA, CIMA, CCAB or CPA).
  • Minimum of 5 years experience in project and financial controlling, business partnering and/or management accounting.
  • Sound knowledge of budgetary control and accounting concepts.
  • Experience of financial management for projects, programmes or comparable activities that include managing both revenue and expenditure.
  • Ability to work both in a multi-disciplinary, collaborative team environment and to work independently.
  • Solid business acumen and an aptitude for business development.
  • Full fluency in English, with excellent communication and interpersonal skills.
  • Solid knowledge of Microsoft Office and Google Suite software packages, including advanced skills with Microsoft Excel and Google Sheets.
  • Ability to work effectively with financial and non-financial stakeholders at various levels of seniority.
  • Ability to tailor your approach to different working practices and cultures, establishing excellent working relationships with many colleagues.

  • Proficiency in accounting software (e.g. SAP or Workday).
  • Skills in another language.
  • Experience of working on the (financial) administration of academic research grants.
  • Experience working in an international organisation, an academic or not-for-profit environment, or the meetings and events or training sectors.
