If you’re an experienced and proactive Executive Assistant (EA) who is looking for a rewarding and varied role that will showcase your excellent interpersonal, administrative, creative and organisational skills, then come and work with the Chief Finance Officer (CFO) and Chief Information Officer (CIO). You will provide executive level support to the CFO and CIO. Your main responsibilities in this role are to maintain the CFO's and CIO's schedule, coordinate with internal and external stakeholders, provide logistical and travel support and work on operations related projects. This is a varied and engaging role where you will have the opportunity to learn new skills and expand your knowledge. You will be based at our Borehamwood Head Office 3 days per week. It will be beneficial to have a valid UK driving licence and access to a car as you may be required to travel to sites or other office locations from time to time.
As An Executive Assistant You Will Be:
- Maintaining an accurate and detailed calendar for CFO and CIO, managing and logging incoming scheduling requests, re-scheduling meetings upon request, proactively communicating changes, and anticipating and responding to scheduling conflicts.
- Tracking CFO and CIO’s tasks and projects to ensure appropriate prioritisation of projects with respect to deadlines and organisational developments.
- Organising internal and external meetings for CFO and CIO, including logistical and substantive preparation.
- Managing all travel scheduling and arrangements.
- Tracking and reconciling monthly credit card statements and completing and submitting expense reports in a timely manner.
- Conducting preliminary research on a variety of topics; drafting materials as needed.
- Establishing and maintaining efficient office systems and ensuring the provision of a full secretarial and administrative service for the Chief Financial Officer and Chief Information Officer.
- Coordinating reports for submission to various external and internal bodies.
- Producing presentations as required.
- Organising meetings and agendas, taking minutes of meetings and putting together action trackers.
- Supporting with events and conferences as required.
- Providing holiday and absence cover for other Executive Assistants as and when required.
To Be Successful In The Role, You Will Need:
- Administrative and secretarial skills.
- To be experienced and proficient in all Microsoft Office products including Word, Excel, PowerPoint.
- Verbal and written communication skills.
- Numerical and verbal literacy skills.
- The ability to make judgments unaided and to work proactively.
- The ability to maintain confidentiality at all times and handle highly sensitive information.
- A particular eye for detail and accuracy.
