Are you an experienced Administrator with strong organisational skills, excellent attention to detail and experience supporting technical or project-based teams? Are you confident managing documentation, coordinating information and keeping multiple people on track within a busy construction, engineering, utilities or infrastructure environment? We’re recruiting a Document Controller / Technical Administrator to join an established and growing business, supporting the day-to-day administration of its North East office and multi-utility projects. This is a varied role combining office administration, project coordination and document control, working closely with Project Managers, Design Managers, site teams, contractors and suppliers. You’ll be responsible for keeping the office running smoothly while ensuring project information is accurate, organised and available to the right people at the right time. The successful candidate will be highly organised, confident using Microsoft Office and SharePoint, and comfortable managing competing priorities, following up outstanding actions and communicating with a range of technical and commercial stakeholders. What You’ll Be Doing * Managing the day-to-day administration of the North East office, including facilities, supplies, equipment and office systems * Acting as a first point of contact for visitors, suppliers and general enquiries * Supporting the onboarding of new starters and maintaining clear, consistent office processes * Providing administrative support to Project Managers and Design Managers * Tracking project actions, deadlines and outstanding information, following up to keep projects moving * Preparing meeting agendas, taking minutes and circulating actions * Coordinating information between project teams, contractors, suppliers and external stakeholders * Preparing regular project status updates and reports * Maintaining accurate project information within SharePoint * Maintaining document, drawing and correspondence registers * Ensuring project teams are working from the latest approved documentation * Issuing documents and information to contractors and stakeholders while maintaining clear records * Supporting the preparation of project handover information, including test records and O&M documentation * Supporting the wider project team with administrative and coordination requirements * Identifying opportunities to improve office and project processes while maintaining high standards of health, safety and compliance What We’re Looking For * Previous experience within technical administration, project administration, office administration or document control * Experience within construction, engineering, utilities, infrastructure or a similar project-based environment * Strong organisational and time management skills with excellent attention to detail * Confident using Microsoft Office, particularly Excel * Experience using SharePoint or similar document management systems * Ability to manage multiple priorities and competing deadlines * Strong written and verbal communication skills * Confident communicating with engineers, contractors, suppliers and external stakeholders * Proactive approach with the confidence to follow up outstanding information and actions * Ability to work independently while supporting a wider project team Desirable: * Experience within energy, utilities or Independent Connections Provider (ICP) environments * Experience with document control, project registers or version control * Familiarity with RFIs, RAMS, handover documentation or O&M information * Experience improving administrative processes within a growing business The Details * Benefits: 26 days holiday, increasing to 31 after 5 years plus more If you’re an organised and proactive Administrator, Document Controller or Project Coordinator looking for a varied role within a growing technical and project-based business, this could be an excellent opportunity to develop your career while playing a key role in keeping projects and office operations running smoothly.
