Role Overview

The Personal Assistant will provide high-quality administrative support to three founders, enabling them to operate more efficiently and focus on their core priorities. The PA will manage day-to-day scheduling, communications, and logistical tasks, supporting smooth operations and relieving routine burdens from the leadership team. The PA will support all three founders and report into one of the founders.

Responsibilities

  • Calendar & Diary Management: Coordinate business and personal calendars for founders; manage scheduling requests and resolve basic conflicts across the team.
  • Email Assistance: Organise and prioritise emails, draft responses where appropriate, and flag urgent messages for attention.
  • Meeting Coordination: Schedule meetings, distribute agendas, circulate materials, take notes when needed, and follow up on standard action items.
  • Travel & Logistics: Book business and occasional personal travel, arrange meetings, dinners, and events (reservations, itineraries, travel requirements).
  • Internal Admin: Support founders by relaying messages via digital tools (Slack, email) and managing reminders for meetings and appointments.
  • Client & Stakeholder Liaison: Assist with scheduling and basic communication with clients and partners, maintaining a professional image.
  • General Admin & Office Support: Help organise small office events, company get-togethers, or internal activities as directed by founders.
  • Handling Confidential Information: Support HR and finance administration under guidance, ensuring all sensitive information is managed discreetly.
  • Occasional Personal Support: Carry out ad hoc personal errands or bookings when required, with business needs taking priority.

Requirements

  • Proven experience providing administrative support to senior managers or founders in a dynamic business environment
  • Strong organisation and time management skills; ability to coordinate multiple requests calmly
  • Approachable, reliable, and detail-oriented, with a proactive but supportive approach
  • Excellent communication skills
  • Good working knowledge of productivity and collaboration tools (Google Workspace, Slack, etc.)
  • High standard of discretion and confidentiality
  • Comfortable working in a hybrid or remote setup; familiarity with London logistics is an advantage
