Lead and manage operational functions on company level, aiming to improve the efficiency of operational procedures. The individual is expected to be a key point between the investment team and operation team regarding bank accounts and cash flow management from the asset/investment to SPVs.
Key Accountabilities
- Manage the Operational Procedure
- Improve the efficiency of operational procedures
- Organize and manage the operational function
- Integrate resources of IT system, GT operation team and LUX team
- Distributions
- Lead and manage the distribution process by liaising with the investment team and external third parties (asset managers and companies) to ensure GT has the annual distribution plans for each investment at the beginning of the year
- Complete the distribution forms and obtain the necessary signatures from the investment and other relevant teams; monitor planned distribution vs actual distribution and critically evaluate external third party’s performance in respect of cash flow management
- Maintain internal system in respect of distributions
- Cash Management
- Lead and manage the repatriation process by liaising with various departments such as accounting, legal, tax and lux team to ensure the cash is repatriated back to HQ within a given time frame
- Initiate repatriation, or report/request extension, in a timely manner
- Generate and submit the Remittance forms and deal with the cash settlement
- Maintain internal system in respect of cash repatriation from SPVs to HQ
- SPV Management
- Daily SPV management: lead the SPV management process by liaising with internal and external stakeholders in respect of tax return filing, tax payment and reclaim, annual returns/PSC submission, audit, invoice payment, filing of documentation
- Maintain efront system in respect of SPV management
- Setting up/closure of SPVs and bank accounts: lead the process of setting up/closure of SPVs and bank accounts by liaising with investment, accounting, legal, tax and HQ relevant teams, completing relevant reporting for approval and implementation
- Evaluate SPV management process: critically evaluate company’s SPV management process and recommend the most efficient solutions to the management for discussion
- Invoice settlement: lead the invoice management process by liaising with relevant stakeholders (internal and external) and preparing necessary internal payment request forms in respect of asset management fees, external advisors fees or SPVs management fees
- Maintain internal system in respect of invoice payments
- SPV tax: maintain SPV tax payment status, ensure all taxes are paid on time; liaise with different internal and external parties regarding tax return related matters; lead the WHT claim process by liaising and managing external parties to ensure GT receives all WHT refunds
- Maintain internal system in respect of SPV tax
- Bank account management: daily reconciliation of bank account balances and cashbooks; monitor bank accounts and bank balances on a daily basis to ensure they comply with HQ’s threshold requirements
Requirements/Skills
- Good analytical and problem-solving skills
- Good communication and inter-personal skills
- Good working knowledge of MS Excel and Word
- Knowledge of coding, such as VBA, is preferred
- Great attention to detail and willingness to go the extra mile in order to produce quality work
- Excellent teamwork, highly motivated, conscientious and confident individual
- Mandarin language skill is essential
- Working experience in settlement department is preferred
