We are a highly regarded not-for-profit, values-based organisation, offering residential, community and in-home aged care for over 30 years, to older people living in and around the city of Manningham.

  • Position Overview

As the Executive and Administration Officer, you will provide high-level secretarial and administrative support to Manna Care’s Board and CEO.

You will coordinate Board and Committee activities, prepare professional documentation, maintain corporate records and support a range of organisational and office administration functions.

This position requires discretion, excellent attention to detail and the ability to effectively manage multiple priorities.

Available 3 working days per week: Tuesdays, Wednesdays and one additional day based on Manna Care's needs.

Key Responsibilities

  • Prepare agendas, record accurate minutes for Board, Committee and management meetings, and compile and distribute Board reports.
  • Arrange meetings, room bookings and special events.
  • Maintain Association membership records, the central filing system and other corporate registers.
  • Prepare and distribute newsletters, coordinate the production of the Annual Report, and upload information to the staff intranet, website or social media platforms as required.
  • Maintain authorised staff access and key-person details across external platforms such as PRODA, my Gov and My Aged Care.
  • Coordinate organisational purchases, including stationery and office consumables, and assist with maintenance requests for Waratah House.
  • Support special projects delegated by the CEO and contribute to improving administrative systems and organisational processes.
  • Work collaboratively with colleagues, contribute to problem-solving and service improvements, and participate in relevant training and development.

About You

To succeed in this role, you will have

  • Advanced proficiency in Microsoft Office applications.
  • Previous experience in an executive support, administration or similar role.
  • Experience preparing agendas, taking minutes and compiling professional correspondence and reports.
  • Strong organisational and time-management skills.
  • The ability to prioritise effectively, meet deadlines and manage multiple tasks.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and a commitment to producing accurate, professional work.
  • Excellent interpersonal skills and a friendly, respectful approach.
  • The ability to maintain discretion, privacy and confidentiality.
  • A current satisfactory Police Check and NDIS Worker Screening Check, or the ability to obtain them.
