Disrupt Agency are currently sourcing an experienced Office Manager with experience of managing building/site services (facilities, health & safety, security,, maintenance etc) to join a major client site based near Green Park in Reading. The ideal candidate will play a crucial role in ensuring our Reading office operates smoothly and efficiently. This position is key to maintaining a safe, organised, and welcoming environment for our associates and clients. Your efforts will directly contribute to the health, safety, and overall satisfaction of our team and visitors. Being a European HQ you will have regular visits from overseas employees, leadership and clients so people facing skills, strong communication and organisational skills are key to this hire. A second European language would also be desirable but not essential.
Key Responsibilities of the Office Manager
– Health & Safety: Lead H&S and Fire Marshal groups, conduct regular meetings, report issues, and ensure compliance.
– Office Environment: Oversee maintenance, manage workstation assessments, control security pass access, and handle mail and parcels.
– Travel & Accommodation: Arrange travel and accommodations for associates, negotiate room rates, and ensure quality.
– Stationery & Printing: Manage corporate stationery, coordinate external printing quotes, and reduce costs.
– Facilities Management: Review building maintenance contracts, schedule contractor visits, and attend tenant meetings.
– Building Security: Maintain high security standards, liaise with external suppliers, and ensure access control.
Office Management Support and Development:
– Collaborate with other departments and regions on joint projects.
– Uphold our mission, values, and vision by fostering a culture of respect, teamwork, and integrity.
– Commit to workplace safety and contribute to quality excellence across the business.
– Participate in continuous improvement initiatives and take responsibility for personal and team development.
Qualifications/Background of the Office Manager:
– Essential: Preferably GCSE passes in English and Maths however previous relevant experience in a similar environment will be considered preferable.
– Desirable: Proficiency in Microsoft Office and strong communication skills at all levels.
