The Role: We are looking for an experienced Executive Assistant to support our CEO, COO and Board and play a key role in the effective operation of our Executive Office and wider leadership team. This is a varied and highly trusted role, working closely with senior leaders across the business to manage executive priorities, coordinate Board and leadership governance, and support the delivery of wider business and strategic initiatives. You will be proactive, highly organised and comfortable working independently, with the confidence to manage competing priorities and anticipate what is needed before being asked. You will build strong relationships across the business and externally, exercising sound judgement and discretion when handling confidential and commercially sensitive information.
Key Responsibilities:
- Provide proactive Executive Assistant support to the CEO, COO and Board, managing priorities and helping them operate effectively.
- Manage complex diaries and meeting schedules, balancing competing priorities and anticipating requirements.
- Coordinate agendas, briefing papers, presentations and supporting documentation to ensure executives are well prepared for meetings.
- Lead the end‑to‑end coordination of Board and Executive Leadership Team meetings, including Board packs, minute taking and action tracking.
- Maintain governance records and ensure agreed actions are followed through to completion.
- Manage executive correspondence and act as a trusted point of contact for confidential and sensitive matters.
- Coordinate travel, meetings and logistics, working closely with our wider Administration Team.
- Build strong relationships with Board members, Directors, employees, clients and external stakeholders.
- Support the preparation of executive communications, reports and presentations.
- Support confidential projects, business planning and strategic initiatives across the organisation.
- Facilitate contracts, appointments and documentation requiring Director review or signature.
- Identify opportunities to improve Executive Office processes and ways of working, including the effective use of AI and digital tools.
About You: You will have significant experience working as an Executive Assistant, Personal Assistant or in a similar role supporting at CEO, C‑Suite or senior executive level. You will be confident managing complex diaries and competing priorities, with experience supporting Board and senior leadership meetings from initial planning through to minutes and action tracking. You will be an excellent communicator, comfortable building relationships at all levels and trusted to handle sensitive information with discretion. You will also bring:
- Strong organisational skills and the ability to work independently in a fast‑paced environment.
- Excellent written communication skills, with experience preparing executive‑level correspondence, presentations and briefing papers.
- Confidence communicating with Board members, senior leaders, clients and external stakeholders.
- Strong judgement, attention to detail and the ability to anticipate requirements.
- A proactive approach to problem‑solving and improving ways of working.
- Strong digital skills and an interest in using technology and AI to work more effectively.
Experience within professional services, consultancy, engineering or construction would be beneficial, as would experience supporting multiple senior executives, strategic projects, Business Development activity or CRM systems.
