Job Description
The Project Coordinator will support the coordination and administration of ICT-related activities to ensure smooth project implementation and operational readiness.
The role involves managing service requests, coordinating user account and access requirements, supporting onboarding and offboarding activities, and maintaining accurate documentation and reports.
Key Responsibilities
- Service Request Management
- Raise, monitor, and track ICT service requests with internal teams and external service providers.
- Ensure requests are submitted accurately with the required documentation and approvals.
- Follow up on outstanding requests to ensure timely completion.
- Maintain an up-to-date register of service requests and their status.
- Escalate overdue or high-priority requests when required.
- User Account & Access Administration
- Coordinate user account creation, modification, suspension, and deactivation requests.
- Verify user information and ensure the necessary approvals are obtained.
- Maintain records of account provisioning and access activities.
- Support user onboarding and offboarding by coordinating account and access requirements.
- Active Directory Coordination
- Coordinate requests for Active Directory account management and access changes.
- Support security group creation, membership updates, and distribution list management.
- Coordinate access control and Organisational Unit (OU) changes where required.
- Verify business justification and approvals before submitting requests.
- Track requests through to completion and confirm that changes are implemented accurately.
- Email & SMTP Services
- Coordinate mailbox creation, configuration, and shared mailbox requests.
- Support distribution list creation and maintenance.
- Coordinate SMTP relay, email routing, access permissions, and delegation requests.
- Liaise with relevant email administrators to resolve service issues and configuration requirements.
- Maintain accurate records of email-related requests and approvals.
- Endpoint Administration Coordination
- Coordinate device provisioning, deployment, and asset assignment.
- Support requests for endpoint software installation and configuration.
- Coordinate security certificate deployment and endpoint access changes.
- Maintain records of assigned devices and related service requests.
- Ensure endpoint requests follow applicable security and operational requirements.
- Documentation & Reporting
- Maintain accurate records of requests, approvals, supporting documents, and completion status.
- Prepare regular reports on completed, outstanding, and pending service requests.
- Highlight service delivery risks, delays, and issues to relevant stakeholders.
- Provide supporting documentation for audit, compliance, and governance activities.
Qualifications & Requirements
- Minimum Diploma in Information Technology, Computer Science, Business Administration, or a related field.
- 2β3 years of experience in ICT coordination, IT administration, project coordination, or a related role.
- Experience supporting ICT projects, user onboarding, or operational activities is an advantage.
- Basic understanding of Active Directory, user account administration, email services, and endpoint administration.
- Good coordination, communication, and organisational skills.
- Strong attention to detail and ability to maintain accurate records.
- Able to work independently as well as collaboratively within a team.
- Comfortable working in a fast-paced environment and managing multiple requests simultaneously.
