Our busy Probate department is currently inviting applications from career-minded secretarial candidates for the following position:

LEGAL SECRETARY – WILLS & PROBATE

In this full-time role, which provides broad secretarial and administration assistance to the Partner – Wills & Probate department, you will need to be able to demonstrate genuine, all-round secretarial skills that will include well-honed audio typing/word processing ability, a good working knowledge of MS Office applications (Word / Excel / PowerPoint), first-class organisational acumen and the confidence to show initiative, drive and determination while delivering key outputs and hitting deadlines. Knowledge of using a case management system, ALB or similar, would also be advantageous but is not essential as training will be provided.

DETAILED JOB DESCRIPTION

  • Receive, check and coordinate post
  • Produce accurate documents from dictation, verbal or written instructions including the use of templates and precedents.
  • Maintain the confidentiality of all the firm’s and clients’ documentation and information.
  • Answer telephone calls and take messages
  • Diary management – manage the Fee Earner\’s diary of forthcoming appointments and action
  • Attend clients both in person and on the telephone and to provide such support in a professional and courteous manner
  • Regular contact with appropriate third parties, including other Solicitors, Experts, Barristers, Courts etc.
  • Establish and maintain efficient paper and electronic filing systems
  • Maintain and update efficient document storage system for Wills and Lasting Powers of Attorney in accordance with the firm’s guidelines
  • Open and close client files accurately and efficiently undertake any file management tasks delegated by the Fee Earner. Prepare files for archive.
  • To prepare outgoing correspondence and enclosures for despatch.
  • To provide support and guidance to trainee and temporary secretaries as and when required.
  • To undertake other ad-hoc duties as requested from time to time.
