Salary: £25,986 p.a. (pro-rated to £20,788.80 p.a.)
Location: Hybrid 3 days on site (Gravesend) and 1 day working remotely
We are looking for an organised, proactive and people-focused HR Volunteering Co-ordinator to support the day-to-day delivery of our volunteering programme.
In this important role, you will coordinate volunteer recruitment, onboarding, compliance checks, record-keeping, engagement activity and ongoing support. You will play a key part in ensuring volunteers have a positive, safe and meaningful experience, while helping the organisation attract, engage and retain a diverse volunteer community.
Working closely with managers and colleagues across the organisation, you will help identify volunteering needs, support the development of suitable opportunities, and match volunteers to roles where they can make a real difference.
Main duties of the job
Act as the first point of contact for volunteering enquiries and applications
Coordinate volunteer recruitment, onboarding and pre-placement checks, while maintaining accurate and GDPR-compliant volunteer records
Work with managers to identify volunteering needs and develop suitable opportunities
Support volunteer engagement, recognition initiatives and events
Produce reports on volunteer recruitment, engagement and retention, and use data, feedback and good practice to help improve the volunteer experience
We are seeking someone with experience in a co-ordination, administration or people-focused support role, ideally within volunteering, HR, recruitment, customer service or a similar environment.
You will also bring:
Strong organisational skills and the ability to manage a varied workload
Excellent communication and relationship-building skills
Experience of maintaining accurate records and using systems or databases
A professional, responsive and supportive approach
An understanding of safer recruitment, safeguarding, GDPR and equality, diversity and inclusion
Confidence using Microsoft Office, particularly Excel
Experience of supporting events, engagement activities or volunteer programmes would be advantageous

Supportthe accurate and effective use of the volunteer management system and producereports on volunteer recruitment, engagement, retention and contribution
Usedata and feedback to improve the volunteer experience, and support the reviewof volunteer-related policies, procedures and practices
Assistwith data audits and related data management processes, including support forSubject Access Requests and record removal where required

- The post holder must be willing to work occasional evenings and weekends to support volunteer events and engagement activity
Qualifications
- Educated to GCSE level or equivalent, including English and Maths, with additional relevant training or qualification in HR, recruitment, administration, volunteering or customer service desirable
Experience
- Previous work in a coordinator, administrative or people-focused support role, ideally involving volunteering, recruitment, HR or customer service
- A track record of maintaining accurate records and using systems or databases to support compliance, reporting and service delivery
- Confidence in working with a range of stakeholders and providing clear, professional support and guidance
- Confident communicator with a bright, outgoing and enthusiastic personality
- Involvement in supporting events, engagement activities or campaigns would be an advantage
Knowledge, Skills & Attributes
- Able to organise and prioritise a varied workload, manage competing deadlines and work independently within agreed processes
- Strong written and verbal communication skills, with the ability to deal professionally with volunteers, managers and colleagues
- Able to build effective working relationships and provide a responsive, high-quality service to a wide range of people.
- Able to handle sensitive information with discretion and maintain confidentiality
- Competent in Microsoft Office and confident using databases or management systems to maintain records and produce reports
- Good understanding of safer recruitment, safeguarding, GDPR and equality, diversity and inclusion relevant to the role
- Able to use information and data accurately to support monitoring, reporting and service improvement
