Responsibilities
- Office Administration
- Ensure all correspondence is appropriately dealt with.
- Facilitate finance enquiries by students with our Student Finance Team.
- Report any problems with the building to the Landlord & Campus Manager.
- Order office supplies and provide refreshments, when needed.
- Support Director with administrative support when at the Campus.
- Collaborate with Student Support and Receptionists for different tasks.
- Ensure campus facilities, Health & Safety, and reporting.
- Course Administration
- Handle initial admission enquiries to Campus and collect admission papers if handed in at Campus, and then pass to appropriate Department by collaborating with Student Support and other members of staff.
- Assist students to access online platforms such as Moodle/VLE/Microsoft Teams/Office 365 and help to resolve queries, where possible.
- Ensure students are notified of timetables and timetable changes.
- Ensure student registers/attendance records are completed and submitted to Campus Manager.
- Inform students about key dates such as assessment submissions and resubmissions.
- Keep records and send extenuating circumstances/suspension of studies to Head Office once advised by Campus Leader.
- Ensure student records are properly maintained and alert Head Office with significant absence as directed by Campus Manager.
- Manage the loan and return facility at the library.
- Keep the record of books and keep the area organised.
- Inform Campus Manager, Tutor and Facilitators about new stock and losses.
- Provide admin support to Campus Manager and academic staff, where needed.
- Site Administration
- Act as key holder and responsible for opening and closing of site.
- Ensure studying and teaching spaces are set up and tidy.
- Undertake appropriate training and development as required.
- Other Duties
- Assisting with Campus events, workshops, induction, and similar activities by coordinating catering, providing administrative support and being available to address any issues that may arise.
- Providing support services to all teams on Campus, catering to all their facility needs as well as day-to-day requests.
- Ensuring all staff and students are well informed of all facilities matters.
- Collaborating with Campus security and safety personnel to ensure a safe and secure environment for students and staff.
- Conducting regular inspections of the building to promptly address any issues that arise.
- Assisting in the implementation of new procedures established by the Campus Manager and Campus Operational Manager.
- If required, provide monthly payroll reports to the HR Department.
- Be flexible and show initiative; you will be required to perform other related duties to meet the ongoing needs of ESL.
