The Role

As our Property Coordinator, you'll manage bookings from instruction through to completion - making sure every job is scheduled correctly, confirmed clearly, and delivered smoothly. This role is central to the business. You'll be the link between our clients, our Property Inspectors, and the office, ensuring diaries are efficient, communication is clear, and nothing gets missed.

Key Responsibilities

  • Schedule and confirm customer bookings (phone or email)
  • Clearly communicate job type, property address, client details and access information
  • Allocate inspections to the most appropriate Property Inspector (PI) available
  • Maximise efficiency across PI diaries (reducing travel time and improving daily flow)
  • Maintain continuity between PI and property where possible
  • Flag logistical or property-specific issues early and communicate them promptly
  • Build strong working relationships with clients, PIs and the wider team
  • Keep accurate booking records and clear email trails from instruction through to completion
  • Ensure the correct party is billed and details are recorded accurately
  • Liaise with PIs to make sure compliance forms completed accurately and timely

Who We're Looking For

This role would suit someone with experience in lettings, property management, estate agency administration, or a similar coordination role. You will be:

  • Highly organized, with strong attention to detail
  • Confident juggling multiple tasks and priorities
  • Calm under pressure and solutions-focused
  • Proactive - you spot problems early and fix them
  • Friendly and professional on the phone
  • A clear communicator (written and verbal)
  • Comfortable managing multiple diaries and time-sensitive bookings
  • Able to work well within a small team and take ownership of your work

Full training will be provided, and you'll be supported with clear systems and expectations from day one.

Working Hours

Office hours: Monday - Friday 9:00am - 5.30pm. Saturdays will eventually be required as and when the business needs it, however a day in lieu will be offered.
