Your Mission at Elis. The Contract Manager will assume the day to day management of the on-site team. They will also liaise closely with the nominated Trust representative to drive in-life contract efficiency and identify business growth opportunities. Based on both sites, the key objective of the role is to commercially manage the contract at every level. It is important that the Contract Manager can ensure invoice integrity, compliance with stated processes, review utilisation making suitable recommendations for improvement and proactively identify mutually beneficial cost saving initiatives.

Key Responsibilities
  • Establish and maintain effective customer relations with all key personnel.
  • Develop and maintain KPI's relevant to performance of the OPD process.
  • Ensuring the location is adequately staffed at all times to meet contract requirements.
  • Management, supervision, and control of all unit's staff.
  • Ensuring that supplier's staff are competent to carry out the services.
  • Management of all planned and unplanned duties of staff.
  • Ensuring contract and subcontract staff comply with all policies, Acts, Regulations, codes of practice and standard procedures applicable to linen service.
  • Administrating site health and safety procedures for linen service covered by the contract.
  • Producing risk assessments carried out by the supplier.
  • Monitoring performance standards of the contract and the compilation of contract key performance indicators (KPI's).
  • Receiving reports of standards defects and taking appropriate action to rectify such defects.
  • Ensuring all statutory documentation for areas applicable to the service are up to date.
  • Producing reports to the authorised officer and/or contact team as specified.
  • Link with head of facilities to ensure regular walk around to review linen services.
  • Agreeing, reviewing, and escalating audit processes.
  • Directly supervise and monitor staff performance during the course of their duties.
  • Monitor and control staff timekeeping.
  • Using departmental guidance agree and allocate cover for annual leave & sickness.
  • Conduct first line return to work interviews in accordance with policies and procedures.
  • Conduct annual staff appraisals.
  • Undertake induction training of new staff and assist in all relevant staff training.
  • Check the quantities of linen supplies from the laundry to ensure they are accurate.
  • Co-ordinate with the servicing factory on a regular basis.
  • Ensure delivery schedules are met along with any additional ad-hoc requests.
  • Ensure communication between Elis and the site is timely and accurate both verbally and in document format.
  • Liaise with the Customer Relationship Manager on a regular basis to ensure consistency and information sharing.
  • Ensure all Health & Safety regulations are adhered to.

The Contract Manager will be available Monday to Friday to ensure the smooth running of the contract, but will need to be available on Saturdays/Sundays when required. This role is across both Royal Brompton and Harefield Hospitals. The Contract Manager must be available for both sites.
