To provide excellent service to clients delivering the highest standard of customer service and ensuring all duties are carried out to the highest standard. Professional and well presented with integrity and a positive and can-do attitude. Passionate about delivering exceptional service and take responsibility for your contribution to the team. Ideally previous corporate or hotel reception experience, technical knowledge of meeting room systems and IT packages, high standard of customer service delivery and administration.

The reception team is responsible for the delivery of reception services to all internal and external clients. Meeting room management liaising with key stakeholders and other service partners to ensure all requirements are met. The core service hours of Reception Services are 07.30 – 17:30. The job holder will be responsible for ensuring that these hours are covered on a shift rota basis, working Monday to Fridays, 45 hours per week. Because of the changing nature of our business your job description will inevitably change. You will, from time to time, be required to undertake other activities of a similar nature that fall within your capabilities as directed by management.

Responsibilities – Client Care

  • Welcome & greet all guests/visitors to the reception area.
  • Greet internal and external clients with a smile, acknowledging them promptly, using the agreed welcome “Good Morning/Good Afternoon …” and their name once established.
  • Escort guests to required destination, ensuring smooth transitions between team members at each stage of their journey.
  • Aim to provide an update to any visitors waiting for verification in reception every five minutes.
  • Offer refreshments in the lounge area if guests are waiting and ensure you keep them updated on their host’s arrival.
  • Proactively deal with enquiries and requests in person, via the telephone or email, in a timely and professional manner.
  • Continually develop client knowledge and share that information with the team.
  • Maintain the necessary awareness of building facilities to advise and direct guests appropriately.
  • Answer calls as per the required standards and deliver messages in a timely manner.
  • Assist with any ad hoc duties as required.

Teamwork and Communication

  • Welcome and escort guests to meeting rooms, taking coats and luggage as required.
  • Communicate effectively with peers and the management team, displaying accuracy and attention to detail both in verbal and written communication.
  • Maintain a strong awareness of business activity and communicate all updates with your team members.
  • Liaise with colleagues to ensure the smooth arrival of the host’s client.
  • Communicate to the Reception Team Leader about any new / on-going / potential issues and complaints so that they are addressed accordingly.
  • Follow this up promptly with a detailed email.
  • Communicate effectively with all service partners on new bookings, changes to existing bookings and on any cancellations.
  • Provide assistance according to business needs e.g. lunch cover annual leave cover etc.
  • Support the training of new team members ensuring they are provided with all the information required in order to carry out the role.
  • Take part in the cross‑training program which covers all areas of the department, when available.
  • Assist with any ad hoc duties as required.

Personal Presentation: Maintain a professional, polite, and considerate manner at all times and adhere to uniform and presentation standards as per the Uniform guidelines.
