Role Summary

In January 2024, Elevate (www.oneelevate.com), a full service global agency, acquired SRI Executive, an executive search firm with a 23 year history, to create Elevate Talent. Focusing on the exhilarating worlds of sports, media, brands, and entertainment, we are growing … and fast!

We are now looking for an EA & Practice Manager who will serve as the operational backbone of one of our practices, providing high-level administrative and project management support to ensure the seamless functioning of the team. This role requires a dynamic individual who can handle a wide range of responsibilities, maintain a high level of confidentiality, and act as a trusted partner to the leadership team. Role Responsibilities

Administration & Scheduling

  • Perform tasks including; diary and inbox management for the Partners, and planning and organising meetings for the team
  • Meeting preparation including research, meeting agendas and materials; take meeting notes and ensure all follow-up actions are completed
  • Plan and schedule travel arrangements
  • Manage any internal team events and internal communications to the wider business

Marketing & Sales Support

  • Generating case studies and testimonials and uploading them to the website for all new assignments
  • Managing the practice’s internal communications through Teams, capturing relevant data and recording it in Invenias
  • Creation of pitch decks and other marketing materials using the templates provided by Marketing
  • Management of internal and external events such as seminars, exhibitions and conferences
  • Ownership of LinkedIn, ensuring content is generated by the partners in line with the content calendar and uploaded onto the site in a timely manner
  • Ensuring the marcomms and BD programs are kept up to date

Operations

  • Invenias administration support and weekly forecasting on all forecasted assignments.
  • Loading Pitch, Forecasted assignments to Invenias with correct estimated billing amounts.
  • Drafting LOE’s & sending via DocuSign; Signed LOE’s information to be transferred to Invenias on the billing section for accurate invoicing purposes.
  • Auditing assignments at the start to ensure all fee splits have been allocated correctly to the various team members, and where it hasn’t, to chase.
  • Drafting and generating invoices for the relevant Practice Areas and sending to client.
  • Ensuring that milestones and billings are updated on Invenias on a weekly basis, with correct data.
  • Understanding of how to operate/read the analytical dashboards, front end and back end, to support the relevant practice areas as and when needed.
  • Working with Finance Team to manage debtor days with various Partners.
  • Closing assignments and placement of candidates correctly through the placement tool and adding to the track record.
  • Ensuring all required information and documents are saved in Invenias, including client & candidate meetings/interviews, documents pertaining to the searches, and key client information
  • Parsing in people to searches, as and when needed.

Other

  • Continuous evaluation of our processes, recommending and implementing improvements
  • Providing support on ad-hoc projects when required

Required Skills & Experience

  • 5+ years of experience in executive support, project management, or operations, preferably within a professional services or executive search environment.
  • Exceptional organisational skills with the ability to prioritise and manage multiple tasks simultaneously.
  • Strong written and verbal communication skills.
  • A high level of professionalism and discretion in handling sensitive information.
