  • Office Management Experience: You bring proven experience in managing office operations, including facility maintenance and vendor coordination.

  • Location: You live in or near London and are able to work on-site in our London office 4-5 days per week.

What the job involves

We have just opened the doors to our brand-new hub in London, St. Paul’s! As we start scaling our UK presence, we are looking for a proactive Office Manager (m/f/d) to shape our growing team and workplace culture from day one. In this role, you will play a key part in establishing our local foundations - from daily operations and structures to a vibrant environment - working closely alongside our local People and Office Manager.

  • Workspace-Creation: You support the People and Office Manager to continue in fulfilling an inviting, functional, and inclusive workplace for all EGYMees. You act as the first person of contact for any office related questions for our teams.
  • Workplace Safety: You ensure compliance with occupational health and safety regulations and ensure the UK office is legally compliant. You will participate in being a Fire Marshal and First Aider.
  • Office Operations: You oversee all aspects of office operations, including general office supplies, facility maintenance, and coordination with external service providers as well as keeping internal documentation up to date.
  • Events: You support the team with onsite events. Besides that, you organise and execute local team events and activities while collaborating with the global Office Management team to drive company-wide engagement initiatives, such as the New Year’s and Summer Parties.
  • Employee Experience: You welcome and onboard new team members while ensuring our existing team feels valued and connected by recognising and celebrating key milestones such as work anniversaries and birthdays.
  • People Management: You support with people operational related tasks including administering our company benefits, end-of-year and monthly tax reporting, reviewing employee documents and monitoring monthly memberships.
  • Your training goal for your first 6 months:
  • Employee Engagement: You organise onsite engagement activities for the local team along with global engagement activities.
  • Collaboration: You establish trusting relationships with key stakeholders and employees and are recognised as the go-to person for the UK office.
  • Process Knowledge: You develop a solid understanding of the core office management processes and handle them with confidence.
  • Optimisation: You actively contribute to improving and implementing office policies and processes.
  • Office Testing: You complete all office health & safety weekly and monthly testing and ensure all records are updated and any faults reported.
