Main duties of the job

What Youll Be Doing

  • Be the first point of contact for patients both in person and over the phone.
  • Manage appointments, process repeat prescriptions and provide general administrative support.
  • Accurately update and maintain patient records.
  • Collaborate with colleagues across our main and branch surgeries to deliver high-quality service.
  • Handle queries and navigate care for patients with empathy and professionalism.

Job responsibilities

DUTIES AND RESPONSIBILITIES

Provide exceptional service to our patients at thereception desk, updating computer on patients arrival and dealing with a rangeof routine queries including prescription requests. Problem-solve issues withincompetency (with senior staff always available for support). Concentration isrequired to deal with patients' requests and there is occasional exposure todifficult/demanding situations.

Prepare consulting rooms replenishing stationeryand ensuring rooms are neat and tidy.

First point of contact for patients who telephone,managing appointments, dealing with routine queries, giving results etc wheremore senior staff are always available.

Retrieve, scan and file medical records as requiredensuring accuracy.

Daily allocating of pathology results toappropriate GP and contacting patients as per protocol.

Preparing files for all new patients.

Updating practice systems with data gathered from avariety of sources e.g hospital letters, through scanning, electronic links andCervical Screening Wales ensuring accuracy.

Processing routine requests for repeatprescriptions with guidance from office manager as per protocol ensuringaccuracy.

Monitor registration links in accordance withpractice protocol.

Demonstrate duties to new staff.

Participate in the development of protocols throughcontribution to staff meetings.

Summarising of clinical records under supervisionof office manager ensuring accuracy.

Accept responsibility for own development andupdate PDP as appropriate.

Liaise with and support all members of the primarycare team.

Alert the Management Team to issues of quality andrisk.

Person Specification

Experience

  • Previous experience in a similar role, preferably in a healthcare setting, is ideal but not essentialtraining will be provided.

Key Skills

  • Strong communication and organisational skills with a compassionate approach.
  • Ability to work shifts (8:00 AM 4:00 PM and 10:30 AM 6:30 PM).

Qualifications

  • GCSE-level education including English and Maths.
  • Qualified to NVQ level 2/3
