The Workplace Project Manager will play a key role in the successful delivery of Security & Property projects across Quilter, taking ownership of small to medium-sized projects and ensuring they are delivered safely, effectively and in line with agreed scope, budget, timelines, governance standards and stakeholder expectations. The role will also act as the internal Quilter lead and key point of contact for larger property, refurbishment and relocation projects where external project managers, cost consultants or specialist partners are appointed, ensuring internal requirements are clearly understood, decisions are progressed, risks are managed and outcomes remain aligned to business priorities.
Key Responsibilities
- Project Delivery & Management
- Lead the end-to-end delivery of small to medium-sized projects, including workspace improvements, facilities management changes, refurbishments, compliance activity and business-led property initiatives.
- Develop and manage project plans (scope, timelines, dependencies, deliverables).
- Ensure adherence to governance, approvals and controls.
- Coordinate resources and prioritise across competing demands.
- Track performance against plan, proactively managing variances.
- Programme Support (Larger Initiatives)
- Act as the internal Quilter contact for larger projects where an external project manager, cost consultant, contractor or specialist supplier is appointed, including major refurbishments, relocations and other property-led initiatives.
- Coordinate internal stakeholders, governance inputs, business requirements, approvals and reporting to ensure externally managed projects remain aligned to Quilter priorities and decision-making timelines.
- Provide assurance on progress, risks and dependencies into programme forums and/or via your line manager.
- Reporting, MI & Governance
- Produce high-quality MI including RAG status, milestones, financials, risks and issues.
- Maintain central project tracking tools and dashboards.
- Contribute to governance forums and leadership reporting.
- Ensure delivery aligns to governance standards, supporting transparency and auditability.
- Budget Management & Financial Control
- Manage project budgets (forecasting, tracking, variance analysis).
- Monitors spend vs approvals, escalating risks early.
- Drive cost efficiency and value-for-money outcomes.
- Risk & Issue Management
- Identify, assess and manage delivery risks and issues.
- Maintain and track risk/issue logs with clear mitigations.
- Escalate material risks and support resolution via governance.
- Ensure alignment to risk frameworks and control requirements.
- Stakeholder Management & Communication
- Build strong cross-functional relationships (Property, Ops, IT, Finance, Procurement, suppliers).
- Develop and deliver clear communication plans.
- Provide concise, tailored updates to all audiences.
- Facilitate meetings and decision-making sessions to ensure alignment.
- Continuous Improvement & Standards
- Drive consistent delivery through tools, templates and best practice.
- Identify and implement efficiency improvements.
- Contribute to governance frameworks and reporting standards.
- Promote a culture of accountability, resilience and continuous improvement.
