As a Procurement Administrator you will support the IT team with administration and be responsible for sourcing and purchasing the best quality equipment, goods and services. Additionally you will maintain a positive and friendly company image by acting as the first line of contact with suppliers.
Key Responsibilities
- Supplier management for IT equipment, understanding the stock and lead times to satisfy the business.
- Raising purchase orders and updating stock systems.
- Ensuring timely provision of IT equipment for end users and for implementation of projects.
- Producing purchase orders for suppliers as required, ensuring Procurement processes are adhered to.
- Dealing with IT Procurement queries.
- Dealing with payment queries, and ensuring approval is sought in a timely manner by liaising with the finance team.
- Tracking receipt and spend against POs expected and raised.
- Organising collections/delivery slots and liaising with third parties.
- Supporting the Head of IT and IT Manager with the monthly budget.
- Handling expenses and various administrative duties.
- Supporting the IT Manager with IT Procurement, Asset, Audit, and Admin functions.
- Maintaining an accurate list of subscriptions, software purchases and licensing details.
- Identifying opportunities for improving service operations processes to drive cost and process efficiencies.
- Maintaining supplier relationships for all locations.
- Working at pace to match the demands of the business.
- Supporting the setup of any new suppliers.
Requirements
- Relevant experience/qualification in administration, procurement or supplier management.
- Previous experience with managing and dealing with suppliers.
- Excellent written and oral communication skills.
- Common sense approach with the ability to spot opportunities to simplify and improve processes to drive better results and sound business outcomes.
- The ability to understand and translate users/customers business requirements into IT deliverables.
- Ability to deal with confidential information and maintain confidentiality.
- Positive, proactive and collaborative team player who is also comfortable working autonomously.
Required Skills
- Highly numerate and high attention to detail.
- Personal resilience and capacity to work effectively and stay calm under pressure.
- Strong organisational skills.
Preferred Skills
- Previous experience working with suppliers in China or the Philippines.
- Verbal communication in either Mandarin or Cantonese is desirable.
