An excellent opportunity to join an industry leading business as a Sales Administrator to cover a 12-month maternity contract.

Working hours are 8.30am - 5.00pm (Mon-Thurs) and Friday 08.30am - 4.00pm.

There is the option of 1 day a week working from home after 3-6 months, subject to successful completion of training but this would not apply during times when other team members are on holiday due to on-site cover requirements.

Duties & Responsibilities:

Sales Order Processing

  • Process sales orders through the ERP system. ensuring everything is accurately received.
  • Confirm that all information needed by production, purchasing, and finance is complete and compliant with established procedures.
  • Identify and resolve any queries relating to lead times or product specifications by liaising with production or technical teams.
  • Provide prompt and accurate order acknowledgements to customers once all details have been confirmed.

Sales Enquiries/Quotations/Orders

  • Use standard or customer specific price lists to respond to sales enquiries from existing and prospective customers, providing quotations where appropriate.
  • For non standard products, bespoke specifications, bulk orders, or project based enquiries, refer to the Sales Manager or Directors for guidance or approval.
  • Maintain accurate records of all quotations, including supporting details, calculations, and assumptions, to ensure full traceability and enable effective future follow up.
  • Log and track all incoming enquiries and leads, ensuring they are recorded systematically for future reference, follow up activity, and audit purposes.

Account Management

  • Maintain strong, professional relationships with existing customers, providing regular updates on outstanding orders, lead times, and any other relevant information.
  • Address customer enquiries relating to pricing, specifications, technical matters, or general issues, consulting with colleagues or other departments where required.
  • Proactively update customers on the status of their orders and expected delivery dates to ensure clear communication and a positive customer experience.

General Office

  • Answer incoming telephone calls promptly and courteously, with the sales team taking primary responsibility for managing enquiries.
  • Send out literature, samples, and any other required information to customers as requested.
  • Support the preparation and delivery of trade shows, sales trips, and customer visits, and attend these events when required.
  • Welcome visitors to the premises and prepare refreshments when needed.
  • Share responsibility for general office duties, including photocopying, filing, preparing drinks, and other routine housekeeping and administrative tasks.
  • Undertake additional projects or duties as assigned from time to time.

The Candidate

  • Proven sales administration experience.
  • Be a professional and confident communicator, comfortable dealing with people at all levels.
  • Be diligent, accurate, and have strong attention to detail.
  • Be reliable and proactive with a strong work ethic.
  • Proficient user of Microsoft Word, Excel, and Outlook.
  • Someone with LinkedIn experience would be desirable.
