We are looking for a highly organised and proactive Office Manager / Executive Assistant to take responsibility for the smooth day-to-day running of the office while providing administrative and executive support to senior leadership.
This is a varied, hands-on role for someone who enjoys being the central point of contact for office administration, employee benefits and workplace coordination. The successful candidate will be highly organised, personable and comfortable managing a wide range of responsibilities with a proactive approach.
Key Responsibilities
Office Administration & Employee Support
- Manage day-to-day office administration and ensure the office runs smoothly.
- Maintain and manage the company holiday tracker.
- Support the administration of employee benefits, including health insurance.
- Manage employee benefit schemes such as the Cycle to Work scheme.
- Coordinate office supplies, refreshments and regular fruit deliveries.
- Liaise with suppliers, contractors and external service providers.
- Coordinate office maintenance, repairs and facilities requirements.
- Organise office events, team activities and employee initiatives.
- Act as a key point of contact for employees regarding office-related queries and benefits.
- Help create a positive, professional and welcoming office environment.
- Support onboarding and offboarding processes for employees.
- Maintain accurate records and ensure relevant administrative processes are completed efficiently.
- Provide administrative and organisational support to senior executives.
- Manage calendars, meetings and appointments.
- Coordinate travel arrangements and itineraries where required.
- Prepare meeting agendas, presentations and other documents.
- Take meeting minutes and follow up on actions where required.
- Manage correspondence and communicate with internal and external stakeholders.
- Handle confidential information with professionalism and discretion.
About You
- Previous experience in an Office Manager, Executive Assistant, Personal Assistant, Office Administrator or similar role.
- Highly organised with excellent attention to detail.
- Strong communication and interpersonal skills.
- Comfortable managing multiple responsibilities and priorities.
- Proactive, practical and able to work independently.
- Confident dealing with employees, senior stakeholders and external suppliers.
- Professional, approachable and solutions-focused.
- Comfortable working fully on-site and being a visible, central presence within the office.
