The Operations Team is the “oil in the machinery,” ensuring our processes run smoothly and the customer journey is exceptional. We are at the heart of the student journey, working closely with students and their families, supporting the academic and administrative aspects of the process while ensuring everyone is well-advised, supported, and confident every step of the way.
Together, the team supports and tracks student applications and documentation from start to finish, guides families through academic and administrative requirements, and keeps records organized using CRM systems while maintaining a personal approach. When challenges arise, the team works collaboratively to troubleshoot and resolve issues before they become roadblocks, acting as the “final gatekeeper” to ensure everything is in place before students begin their studies abroad.
The Operations Consultant supports the delivery of Keystone Sports’ services by guiding student-athletes through the administrative and operational stages of their recruitment journey. The role ensures that clients receive accurate, timely, and high-quality support from onboarding through admissions, eligibility documentation, pre-arrival preparation, and visa processes. Working closely with other departments and Operations colleagues, the role contributes to a smooth customer journey, strong client satisfaction, and consistent execution of Keystone Sports’ delivery model.
Key Roles & Responsibilities
- Handle assigned student cases and support clients through onboarding, admissions, documentation, pre-arrival preparation, and visa processes.
- Maintain regular communication with clients and parents to ensure clarity, progress, and engagement throughout the journey.
- Guide administrative and procedural requirements and support clients in completing tasks accurately and on time.
- Liaise with schools, admissions departments, and relevant partners to support applications and enrollment.
- Support UK and EMEA students throughout longer recruitment cycles through structured follow-ups and proactive communication.
- Use CRM tools to manage cases, track progress, and maintain accurate records.
- Follow defined workflows, guidelines, and checklists to ensure consistent service delivery.

- Enrollment Targets: Achieve enrollments of assigned clients within agreed timelines and service expectations.
- Client Experience: Maintain a high client satisfaction rating while ensuring accurate, timely, and efficient case handling in line with company processes and CRM standards.
