Assistant Building Supervisor

Reports To

School Principal

Responsible For

Assisting the building supervisor in the supervision of staff which may include normal administrative processes.

Job Purpose

Assist the building supervisor with on site supervision cleaning and non‑cleaning services in accordance with the practices and procedures of the Education Authority.

Main Duties and Responsibilities

Security

  • Security of the premises and its contents.
  • Open and close the premises and grounds except where authorised by another person.
  • Ensure all windows, doors and gates are closed and locked at the end of each day.
  • Safely manage keys, allocate and retrieve them at the end of each working day.
  • Operate and monitor security camera system, storing used tapes appropriately.
  • Operate fire alarm, burglar alarm and building security systems, reporting faults.
  • Respond to after‑hour breaks and vandalism, secure premises and clean as soon as cleared.
  • Report suspicious activity during normal hours to the designated line manager.
  • Report any breach of security, including used needles or illegal substances.
  • Apply grit or rock salt in snow and frost to keep pathways safe.

Mechanical and Electrical Services

  • Ensure efficient operation of the boiler/heating system for cost‑effectiveness.
  • Maintain lighting and heating, and routine plant maintenance including common services.
  • Requisition adequate fuel on time.
  • Monitor and document fuel, water and electricity usage.
  • Replace lamps, tubes and plugs up to 3.35 m.
  • Inspect and report defects on firefighting equipment.
  • Maintain water levels of swimming/hydrotherapy pools.

Cleaning

  • Clean all premises except the accommodation used solely for school meals.
  • Plan, organise and control cleaning staff to meet Education Authority standards.
  • Plan periodic work with service users and report plans.
  • Recommend and implement procedural changes to improve economy and standards.
  • Monitor suitability of materials and recommend replacements.
  • Keep hard surfaces, paths and ornamental grounds clean and litter‑free.
  • Clean external drains, gullies, grease‑traps and remove obstructions.
  • Wash and clean bins, including school meals bins.
  • Empty litter bins daily.
  • Provide continuous cleaning service for spills, floods and weather‑related issues.
  • Replenish toilet rolls, soaps, paper towels and other requisites.
  • Inspect sandpits and remove sand from fouled areas.
  • Clean and replace contents of sandpits and paddling pools per instruction.
  • Clean external signs, light covers and notices up to 3.35 m.
  • Clean non‑electrical fittings on portable heating and ventilation equipment.
  • Maintain supplies of materials and light equipment within budget.
  • Report defects in cleaning equipment.
  • Prepare premises for after‑school activities and normal use.
  • Direct and clean internal fixed glass surfaces up to 3.35 m.
  • Ensure cleaning staff wear PPE or workwear when provided.
  • Maintain cleaning standards, investigate complaints and advise the line manager.

Porterage

  • Receive, transport and store delivered stores, school meals, and school milk materials.
  • Dispatch laundry goods and other materials from the building.
  • Assist with setting out and removal of tables, chairs where the area is used for food and education and clean the room.
  • Transport refuse bins to and from collection points.
  • Prepare rooms for examinations and other purposes.

Administration

  • Prepare reports on cleaning and premises defects.
  • Authorise the employment of external contractors and monitor their activities.
  • Complete all paperwork and submit required reports.
  • Maintain consumable stock and equipment inventory records.
  • Report electrical floor equipment defects immediately and keep repair records.
  • Ensure staff attendance, holidays and absences records are completed and returned timely.

Handyperson Duties

Within the competence of the post‑holder.

Training

  • Accept training for duties up to or above own grade.
  • Accept training for higher grade duties only where required by the authority and paid accordingly.
  • Conduct induction and refresher training of cleaning staff and keep a record.

Elections

Carry out duties related to elections as determined by the joint negotiating committee.

Other Duties

Falling within the purview of the grade as required.

General Conditions

All duties must be carried out to comply with the Health and Safety at Work (NI) Order 1978; Acts of Parliament, Statutory Instruments and Regulations; COSHH Regulations; Codes of Practice.
