EDSB's Central Support department looks after EDSB's Safety, Health, Environment and Quality (SHEQ) responsibilities, Employee Training, Pre-Qualification Questionnaires (PQQs), Business Compliance including the maintenance of our Accreditations, Memberships and Safety Portals. We are now looking to appoint an experienced administrator to join the team.
The successful candidate will have a proven track record in business administration, a can-do attitude, the ability to work both alone and within a team, have a keen eye for detail and a high level of accuracy. Excellent verbal and written communication skills are essential to liaise effectively with external partners and internal colleagues.
The role will include, but not be limited to the following:
- Monitoring the Central Support mailbox which handles queries from employees and customers in relation to the above areas and dealing or directing as necessary.
- Completing Pre-Qualification Questionnaires and updating Customer Portals, ensuring the correct process is followed and all relevant checks are made prior to completion.
- Keeping accreditation/safety portals up to date and liaising with colleagues to collate the necessary information for any technical areas, e.g. Constructionline, SafeContractor, Avetta, amongst others.
- Ensuring our portals spreadsheet is kept up to date. Looking after insurance requests from clients and making sure up to date documents are held in the required areas.
- Supporting the team during our multiple compliance audits throughout the year, creating and populating audit files, finding and collating all necessary supporting documentation.
- Providing administration support to the SHEQ Manager which could include but is not limited to:
- Assisting in the management of external SHEQ systems (Barbour, Health & Safety Advisor, Arco).
- Completing internal process documents using Microsoft Visio and help maintain key internal and external SHEQ documentation.
- Working with Procurement to ensure suitable H&S equipment is ordered and delivered to appropriate employees.
- Dealing with engineer audits, ladder tag requests and raising any issues/requests identified.
- Maintaining compliance spreadsheets, ensuring outstanding actions are completed.
- Supporting with providing essential communications to the business, e.g. toolbox talks, bulletins, updates, etc.
- Supporting in controlling company documents in line with EDSB's procedures. This will include maintaining the Central Support Intranet making sure all necessary Central documents are available as needed to our employees.
- As and when required, for example to provide holiday cover, support the team with employee training admin, including filing/uploading certificates, maintaining training records and the training diary.
- This may also include supporting the team to arrange employee training, identifying potential training needs and sourcing relevant courses in conjunction with other departments within the business.

The role is full time and is office based. Working hours are 08:30 to 17:00 with a 45-minute lunch break. Salary will be discussed at interview stage.
