Embrace Excellence

Based at The Macallan Estate and reporting to the Experience Operations Manager, the Administration Assistant ensures effective and efficient organisation and administration support for the Experience Operations Team, which includes Food and Beverage, Kitchen, Guest Experience & Boutique teams. This role includes business‑critical tasks such as assisting with stock management and reporting, placing and monitoring orders, H&S and training records, as well as day‑to‑day administration tasks. This is a 12 month fixed‑term role.

Make an Impact

  • Develop a strong network of external and internal relationships with key contacts including Experience & Events and Finance Admin.
  • Administration of all stock management.
  • Updating of H&S and training records.
  • Reviewing and submitting team timesheets.
  • Department ordering online with the company Pay-to-Procure Process, supported by Finance.
  • Responsible for all administration tasks required for the team, including general office management, stationery and equipment ordering.
  • Production of daily operation sheets, menus, bottle labels.
  • Responsibility for the department Key Safe.
  • Ensuring all tasks are completed to a high standard and within deadline.
  • Undertake ad hoc activity/project work as required.
  • Prepare and distribute meeting agendas and undertake minute‑taking duties for internal meetings as required.
  • Responsible for proactively managing the quality of the working environment, ensuring hazards and damage are reported via the job card system.
  • Responsible for all new supplier set‑up with Navex system for the Experience Operations Team and ensure appropriate maintenance of the system.
  • Use of ServiceCloud, Sevenrooms, AnyRoad and Event Diary, experience management platforms.

Your Talent And Skills

  • Strong IT skills, specifically MS Office packages such as Excel.
  • Experience of using booking events and customer service platforms (desirable).
  • Basic problem‑solving skills.
  • Strong organisational skills and experience of working to deadlines.
  • Strong communication skills across many stakeholders.
  • Ability to adopt new technologies, implement and use when required.
  • Attention to detail – accurate record keeping and data entry.
  • Ability to be self‑motivated and demonstrate ownership over tasks.
  • Previous experience as a PA or EA would be preferred.
  • Aptitude for learning with high levels of engagement and curiosity.
  • Continuous improvement mindset.
