We're looking for a Colleague Experience Administrator to join Edinburgh Napier University's People Team.

Initially supporting our Talent Acquisition team, you'll play a key role in delivering an excellent experience for candidates, hiring managers and colleagues while helping to attract exceptional talent to the University.

As part of our ongoing transformation journey, you'll help deliver efficient, customer-focused people services through improved systems, processes and ways of working.

A key focus over the coming months will be the implementation of People First, the University's new HR and payroll platform, creating exciting opportunities to support process improvement, digital transformation and enhanced colleague experiences.

About the Role

As a Colleague Experience Administrator, you'll provide professional administrative support across recruitment and onboarding activities, ensuring candidates, colleagues and hiring managers receive an efficient, responsive and high-quality service.

Initially, your focus will be supporting Talent Acquisition activities including recruitment administration, candidate care and onboarding.

Over time, you'll have opportunities to work across different areas of the People Team, broadening your experience and developing knowledge across the employee lifecycle.

You'll play an important role in maintaining accurate records, supporting HR systems and processes, responding to enquiries and helping deliver a positive colleague and candidate experience across the University.

What You'll Do

  • Act as a first point of contact for candidates, colleagues and People Managers.
  • Provide clear and professional guidance on recruitment and people-related queries.
  • Coordinate recruitment activity, including advertising vacancies, arranging interviews and preparing contracts.
  • Support onboarding activities, including right-to-work checks, inductions and system access.
  • Maintain accurate colleague records and prepare HR documentation.
  • Support payroll administration processes.
  • Update and maintain HR systems, records and reports.
  • Contribute to People Team projects, system enhancements and service improvement activities.
  • Support the delivery of a positive and consistent colleague experience across the University.
