About the role

We are looking for a professional and experienced Executive Assistant to provide comprehensive and confidential administration support to the Chief Commercial Officer and the Heads of the Commercial departments at Edinburgh Airport. This is a key role to support the team and will involve providing assistance with travel arrangements, general administration, office management and organisation of diaries and meetings.

What you’ll be doing

  • Manage the Chief Commercial Officer’s diary, planning and scheduling meetings and appointments, deciding where to reschedule, cancel and delegate attendance
  • Handle confidential correspondence and communications
  • Provide administrative support to the Commercial Leadership team, comprising of the Chief Commercial Officer and six departmental Heads
  • Collate and file expenses inputs for the team
  • Travel and accommodation arrangements for attendance at meetings/conferences
  • Assist with business partner meetings, preparing room and refreshments as required
  • Prepare reports, presentations and correspondence
  • Plan comprehensive events for business partner events
  • Arrange team away days and workshops
  • Implement and maintain administrative systems
  • Liaise with staff, suppliers and clients
  • Coordinate paperwork for meetings including preparation of agenda, actions and any reports required
  • Occasional holiday cover for other Executive Assistants may be required
  • Maintain general office standards

What we’re looking for

  • Ideally around 3 or 4 years experience in a similar role, supporting senior executives
  • Experience of managing complex events and meeting logistics
  • Experience of effectively managing competing and changing priorities whilst working to strict deadlines with minimal supervision
  • High levels of integrity and discretion with sensitive business related information
  • Excellent communicator, able to adapt to internal and external customers at all levels
  • Good working knowledge of IT systems such as Excel, Word, and PowerPoint
  • Basic knowledge of budget and financial requirements
  • Good organisational and time management skills
