We’re looking for a highly capable and experienced Commercial Executive Assistant to provide strategic, proactive and confidential support to the Chief Commercial Officer and the wider Commercial Leadership Team at Edinburgh Airport. This is a pivotal role at the heart of one of the airport’s most dynamic functions. You’ll be joining Edinburgh Airport at a time of unprecedented growth, and become a part of the Commercial team who operate in a fast‑paced, externally focused environment – engaging daily with business partners, airlines, retailers, global stakeholders and internal leaders.
As a Commercial Executive Assistant, you’ll act as an extension of the leadership team, ensuring priorities are executed smoothly, time is optimised, and the right connections happen at the right moments. This position is ideal for someone who thrives on responsibility, anticipates needs before they arise, and brings a calm, solution‑driven approach to a rapidly evolving agenda.
About the Recruitment Process: The recruitment process for this role will involve an in person interview with key stakeholders, including our Chief Commercial Officer, and an administrative task to mirror some of the role’s responsibilities. What you’ll be doing:
- Executive Partnership: Provide high‑level support to the Chief Commercial Officer, owning complex diary management, prioritisation decisions, forward planning and stakeholder coordination. Support two Chief Commercial Officers and five Heads of Department with executive‑level administrative and organisational needs. Act as a trusted gatekeeper—ensuring the leadership team’s time, focus and attention are aligned to key strategic priorities.
- Operational Leadership: Manage and refine administrative workflows and systems to drive efficiency across the commercial function. Lead on the coordination of travel, accommodation and itineraries for UK and international meetings. Prepare and quality‑assure presentations, reports, meeting packs and briefings for internal and external audiences.
- Event & Stakeholder Management: Deliver seamless end‑to‑end planning for commercial events, partner engagements, leadership workshops and high‑profile meetings. Liaise confidently with senior stakeholders, business partners and suppliers, representing the commercial team professionally at all times. Support business partner meetings, ensuring all logistics and details are handled with precision.
- Team & Office Management: Oversee general office operations to maintain a high‑performing, professional environment. Manage team expenses and support the financial administration of the department. Provide holiday cover for fellow EAs across the organisation when required.
What we’re looking for: To apply for this role, you’ll need:
- Ideally around 3 or 4 years experience in a similar role, supporting C‑suite leaders or senior executives.
- Demonstrated expertise in managing complex diaries, logistics and stakeholder demands in a busy, high‑stakes environment.
- Proven experience coordinating large events, workshops or partner meetings.
- Exceptional prioritisation skills with the ability to work independently and handle rapid shifts in focus.
- High levels of integrity, discretion and professionalism when working with commercially sensitive information.
- Excellent communication skills, able to build strong relationships internally and externally at every level.
- Strong proficiency across Microsoft Office (Excel, Word, PowerPoint).
- Basic financial awareness and experience supporting budget‑related processes.
- A proactive mindset and a passion for helping leaders and teams perform at their best.
