About the Role:
We are seeking a Commercial Property Manager to lead the day-to-day management of an allocated portfolio of commercial properties. The successful candidate will act as the primary point of contact for tenants, contractors, and managing agents, ensuring delivery across lease management, maintenance, compliance, and service charge administration.
Key Responsibilities:
- Lead the management of an allocated portfolio of commercial properties.
- Take responsibility for lease management, maintenance, compliance, and service charge administration.
- Act as the primary contact for tenants, contractors, and managing agents.
- Monitor financial performance and issue regular reports.
- Support asset management initiatives, contributing to value protection and enhancement opportunities.
- Conduct regular site visits and engage with tenants, consultants, contractors, and internal departments including finance and senior leadership.
- Lead lease events such as renewals, rent reviews, break options, and expiries.
- Conduct negotiations with tenants and their agents within agreed parameters.
- Instruct solicitors and coordinate lease documentation as required.
- Prepare Heads of Terms for approval.
- Monitor tenant compliance with lease obligations and escalate material issues when necessary.
- Manage dilapidations processes and coordinate with external advisors.
- Oversee reactive and planned maintenance across the portfolio.
- Manage contractors within delegated authority levels.
- Undertake regular property inspections and ensure actions are progressed.
- Oversee management of void properties, including securing, inspections, and minor works.
- Identify operational improvements and opportunities for asset enhancement and present recommendations.
- Lead preparation of annual service charge budgets for review and approval.
- Oversee year-end reconciliations in collaboration with finance.
- Monitor service charge expenditure to ensure appropriate recovery and cost control.
- Respond to tenant queries and manage service charge discussions professionally.
- Ensure statutory compliance documentation is in place, including fire safety, asbestos, EPC requirements, legionella, and electrical safety.
- Maintain compliance trackers and ensure remedial actions are completed.
- Work alongside internal H&S or SHEQ teams when required.
- Escalate high-risk or strategic compliance matters appropriately.
- Monitor rent collection and proactively address arrears.
- Review income performance against budget and report variances.
- Approve supplier invoices within delegated authority limits.
- Provide regular portfolio updates and financial commentary.
- Contribute to annual budgeting processes.
Skills and Experience Required:
- Proven experience managing commercial property.
- Strong understanding of commercial lease structures and landlord obligations.
- Experience with service charge budgeting and financial oversight.
